Job Description

Responsibilities

JOB DESCRIPTION

1.      HR Operations & Employee Administration

  • Independently execute daily HR operational activities including onboarding coordination, employee movement processing, and offboarding administration.

  • Maintain accurate employee records, HR database updates, and personnel file management in accordance with company standards.

  • Manage attendance tracking, leave processing, overtime records, and monthly HR data consolidation for payroll and reporting purposes.

  • Handle standard employee enquiries related to HR policies, leave, attendance, and documentation within defined guidelines.

  • Document and escalate employee relations matters such as grievances and disciplinary cases to HR Manager when required.

  • Coordinate employee engagement activities as scheduled by HR department.

2.      Foreign Worker, Expatriate & Hostel Management

  • Manage end-to-end processing of foreign worker documentation including permit renewals, cancellations, updates, and basic compliance tracking.

  • Liaise with recruitment agents, Immigration Department, and relevant authorities for submission and documentation follow-up.

  • Process expatriate employment pass documentation including renewals, dependent passes, and onboarding paperwork.

  • Maintain updated records of permit expiry, levy status, and worker documentation for compliance monitoring.

  • Manage hostel licensing applications, dormitory administration, accommodation arrangements, and ensure compliance with government regulations and operational standards.

  • Monitor permit expiry, levy status, accommodation records, and workforce movement to ensure uninterrupted operations and legal compliance.

  • Maintain proper records, reports, and documentation related to foreign workers and expatriate employment.

3.      Payroll & Statutory Compliance

  • Prepare and validate payroll inputs including attendance data, overtime records, and employee movement updates.

  • Support monthly payroll processing by ensuring data accuracy and timely submission to payroll system or vendor.

  • Coordinate statutory submissions including EPF, SOCSO, EIS, PCB, and HRDC under guidance of HR Manager or payroll provider.

  • Maintain payroll documentation and ensure proper filing for audit and compliance purposes.

  • Handle routine payroll-related queries and escalate complex issues to HR Manager or payroll vendor.

4.      Compliance, Administration & Reporting

  • Ensure HR operational activities comply with Malaysian Employment Act and internal company procedures.

  • Support audit preparation by organising HR documents, employee files, and statutory records.

  • Prepare basic HR reports such as attendance summaries, headcount updates, and HR operational data.

  • Monitor HR documentation deadlines such as permit renewals, contract expiries, and statutory submissions.

  • Handle confidential matters with professionalism, integrity, and discretion at all times.

JOB REQUIREMENT

  • Diploma or Bachelor’s Degree in Human Resource Management, Business Administration, or related field.

  • Minimum 3–5 years of HR operational experience, preferably in manufacturing, marine, offshore, engineering, or similar industrial environments.

  • Strong understanding of HR administration processes and Malaysian labour legislation.

  • Hands-on experience in payroll support and foreign worker documentation is highly preferred.

  • Able to work independently on assigned tasks within defined procedures and guidelines.

  • Strong attention to detail, accuracy, and documentation discipline.

  • Good communication skills and ability to handle employee interactions professionally.

  • Proficient in Microsoft Office and HR systems.

  • Able to work in a fast-paced operational environment with multiple deadlines.
