About the Role
We’re looking for an exceptionally organized, proactive, and detail-obsessed Project Coordinator who thrives on staying three steps ahead. This isn’t a typical admin role - you’ll be the operational backbone that keeps high-priority projects running flawlessly while supporting business development and creative execution.
If you’re the person who anticipates needs before being asked, takes personal ownership of outcomes, and has zero tolerance for mediocrity, this role is for you.
What You’ll Do
Project & Operations Management (60%)
· Coordinate multiple projects simultaneously with meticulous attention to timelines, deliverables, and stakeholder communication
· Anticipate bottlenecks and solve problems before they escalate
· Maintain project documentation, track progress, and ensure nothing falls through the cracks
· Manage calendars, priorities, and communications with ruthless efficiency
· Serve as gatekeeper - filter, prioritize, and protect leadership’s time and focus
Design & Creative Support (20%)
· Prepare presentations, proposals, and marketing materials using Adobe Creative Suite (Photoshop, Illustrator, InDesign)
· Format and polish documents to professional standards
· Coordinate with designers/vendors to execute brand materials
· Maintain brand consistency across all touchpoints
Sales & Business Development Support (20%)
· Prepare sales materials, pitch decks, and client proposals
· Track leads, follow-ups, and client communications in CRM/ tracking systems
· Coordinate client meetings, site visits, and partnership discussions
· Support market research and competitive analysis

Required Skills:
· Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) - advanced level preferred
· Working knowledge of Adobe Creative Suite (Photoshop, Illustrator, InDesign)
· Excellent written and verbal communication in English and Bahasa Malaysia
· Strong internet research and information synthesis abilities
· Comfortable learning new tools and platforms quickly
Preferred Background:
· 0-2 years experience in project coordination, executive assistance, design support, or sales operations
· Background in hospitality, luxury retail, premium brands, or startups
· Experience supporting executives or managing client-facing projects
· Design or creative portfolio (even personal projects) is a plus
