Job Summary
The Admin Executive (Legal & Company Secretarial Administration) is responsible for providing administrative support for legal, corporate secretarial, and general administrative functions of the Group of Companies. The role includes coordination of legal documentation, maintaining statutory records, liaising with external solicitors and company secretaries, and ensuring proper filing and compliance with internal procedures and statutory requirements.
Key Responsibilities
- Provide general administrative and clerical support to Management and departments.
- Manage correspondence, documentation, records, and filing systems efficiently.
- Coordinate meetings, appointments, and document signatories when required.
- Prepare reports, letters, presentations, and administrative documentation.
- Handle confidential documents and sensitive information professionally.
- Support ad-hoc assignments and administrative duties as assigned by Management from time to time.
- Provide administrative and legal support to all departments across the Group of Companies.
- Monitor legal documentation timelines, compliance requirements, and cost exposure.
- Ensure compliance with applicable laws and regulations, including but not limited to the Companies Act, National Land Code (NLC), Personal Data Protection Act (PDPA), and Housing Development Act (HDA).
- Support audit processes and internal risk management initiatives.
- Coordinate and support corporate secretarial matters for the Group of Companies.
- Liaise with external solicitors, company secretaries, authorities, and relevant parties on legal and corporate matters.
- Provide timely legal and administrative support to Management and internal stakeholders.
- Perform any other duties and responsibilities as may be assigned by the superior from time to time.
Qualification
- Education:
- Diploma or Bachelor’s Degree in Business Administration, Corporate Administration, Law, Secretarial Studies, or related field.
- Knowledge:
- Basic understanding of legal documentation, corporate secretarial practices, and statutory compliance requirements. Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and document management.
- Good written and verbal communication skills with ability to liaise professionally with internal and external parties.
- Strong coordination, time management, and multitasking abilities with attention to detail.
- Responsible, trustworthy, proactive, and able to maintain confidentiality at all times.
- Experience:
- Minimum one (1) year legal working experience in legal firm/ in-house preferred but fresh graduates/newly called to the bar are welcomed
- Experience in property development, corporate/commercial or in-house legal role preferred

Job Type: Full-time
Pay: RM2,000.00 - RM2,700.00 per month
