Requirements
Bachelor’s Degree in Accounting, Finance or a related field, or a recognised professional accounting qualification.
Minimum 3–5 years of relevant working experience in accounting or finance.
Proven hands-on experience in handling full set of accounts and month-end closing independently.
Experience in retail, trading, inventory-based or high-transaction-volume businesses is strongly preferred.
Strong knowledge of Accounts Payable, Accounts Receivable, General Ledger, bank reconciliation, accruals, prepayments and accounting adjustments.
Experience in preparing monthly management accounts, financial schedules and management reports.
Practical knowledge of inventory accounting, Cost of Goods Sold and stock reconciliation.
Familiarity with Malaysia e-Invoice, MyInvois, taxation and applicable statutory requirements.
Experience in liaising with external auditors, tax agents, bankers, company secretaries and other professional parties.
Proficient in Microsoft Excel, Microsoft Office and accounting software such as AutoCount, SQL Accounting or an equivalent system.
Strong numerical, analytical and problem-solving skills.
Strong attention to detail and commitment to accuracy.

The Senior Finance Executive will be responsible for preparing payment records, checking supporting documents and submitting payment batches for approval.
Final approval and release of bank payments shall remain with the authorised Director or designated management approver.
The Senior Finance Executive is expected to report significant discrepancies, suspicious transactions, duplicate payments, unsupported purchases or weaknesses in financial controls directly to management.
Performance in this role will be assessed based on:
Accuracy and timeliness of monthly financial closing.
Completion of bank and interbank reconciliations.
Accuracy of purchase, inventory and Cost of Goods Sold reconciliation.

Responsibilities
Full Set of Accounts
Handle and maintain the company’s full set of accounts, including Accounts Payable, Accounts Receivable and General Ledger.
Ensure all financial transactions are accurately and promptly recorded in the accounting system.
Prepare journal entries, accruals, prepayments, depreciation and other required accounting adjustments.
Maintain complete accounting schedules, supporting documents and reconciliation records.
Ensure the chart of accounts and transaction classifications are consistently and correctly applied.
Review ledger balances and investigate unusual, duplicated or incorrect entries.
Ensure financial records are complete, accurate, traceable and maintained within the required timeline.
Purchase and Inventory Reconciliation
Reconcile device and inventory purchases against approved purchase records, seller details, payment evidence, Goods Received Notes and individual Unit IDs.
Ensure every purchase payment is supported by valid documentation and properly linked to the relevant device or inventory record.
Verify that every purchase transaction is recorded only once.
Investigate duplicate purchases, duplicate payments, unsupported transactions, missing Unit IDs and unmatched purchase records.
Reconcile purchases against inventory received, units sold, returns, trade-ins, repairs and stock adjustments.
Reconcile monthly Cost of Goods Sold against actual units sold and inventory movement.
Coordinate periodic stock reconciliation with the Inventory, Procurement, Sales and Operations Departments.
Investigate and report stock variances, missing units, unsupported adjustments and differences between the accounting system and physical inventory.
Prepare monthly purchase, inventory and Cost of Goods Sold reconciliation reports for management review.
Accounts Payable
Verify invoices, purchase records, seller documents, Goods Received Notes and other supporting documents before preparing payments.
Ensure supplier and individual seller payments are supported by the required approvals and documentation.
Prepare payment batches according to approved payment schedules.
Monitor outstanding supplier balances and payment due dates.
Perform supplier statement reconciliation and investigate discrepancies.
Prevent duplicate payment by verifying invoice numbers, seller information, transaction references, amounts and supporting records.
Maintain proper records and audit trails for invoices, payments, refunds, reversals and adjustments.
Prepare payments for management approval without independently approving and releasing the same payment.
Accounts Receivable and Sales Reconciliation
Prepare and issue invoices, debit notes and credit notes where applicable.
Monitor customer and corporate account payments and outstanding receivables.
Follow up on overdue accounts and payment status when required.
Prepare and monitor Accounts Receivable ageing reports.
Perform customer account reconciliation and resolve discrepancies.
Reconcile sales records against customer receipts, invoices, Unit IDs, bank deposits and settlement reports.
Reconcile settlements received from marketplaces, payment gateways, merchant facilities and other sales channels.
Investigate unidentified receipts, short settlements, refunds, chargebacks and unmatched sales transactions.
Banking and Interbank Transfers
Perform daily or regular reconciliation of all company bank accounts.
Monitor incoming receipts, outgoing payments, bank charges and other bank transactions.
Ensure transfers between company-owned bank accounts are recorded strictly as interbank fund transfers.
Ensure interbank transfers are not recognised as purchases, expenses, revenue or additional cash outflow.
Maintain an interbank transfer clearing schedule and ensure all transfers are fully matched and cleared.
Investigate outstanding reconciling items, duplicated payments, unidentified receipts and unusual bank transactions.
Ensure each outgoing purchase payment is matched against an approved purchase record and relevant supporting documents.
Maintain proper documentation and approval records for all banking transactions.
Cash Flow and Treasury Monitoring
Monitor the company’s daily and weekly cash position.
Prepare cash flow updates and projections for management.
Prepare a rolling cash flow forecast covering expected receipts, purchase requirements, supplier payments, operating expenses and other commitments.
Highlight potential cash shortages, significant payment commitments or unusual cash movements.
Assist management in planning payment priorities and working capital requirements.
Maintain accurate schedules for available cash, outstanding payments, receivables and upcoming financial commitments.
Month-End and Year-End Closing
Manage month-end and year-end closing activities.
Prepare bank reconciliations, ledger reconciliations, journal entries and supporting schedules.
Review outstanding balances and ensure required adjustments are properly recorded.
Reconcile purchases, sales, inventory, Cost of Goods Sold, receivables, payables and intercompany or interbank balances.
Ensure closing activities are completed accurately and within the agreed reporting timeline.
Maintain a month-end closing checklist and track all outstanding items.
Escalate unresolved reconciliation differences or incomplete documentation to management.
Financial and Management Reporting
Prepare monthly management accounts, including Profit and Loss, Balance Sheet and Cash Flow Statement.
Prepare monthly financial schedules, reconciliations and supporting reports.
Monitor revenue, gross profit, Cost of Goods Sold, operating expenses, receivables, payables and cash balances.
Prepare budget-versus-actual and month-on-month financial comparisons when required.
Analyse gross profit and net profit performance and highlight significant movements.
Provide financial information and analysis to support management decisions.
Highlight unusual expenses, declining margins, duplicated transactions, unsupported purchases and other financial risks.
Ensure reports submitted to management are supported by reconciled and verifiable accounting records.
Exception and Risk Reporting
Prepare exception reports covering duplicate payments, unsupported purchases, missing Unit IDs, unmatched inventory and unusual transactions.
Identify incorrect transaction classifications, including interbank transfers recorded as expenses or purchases.
Highlight long-outstanding reconciliation items and unexplained account balances.
Escalate suspected irregularities, financial leakage, control weaknesses or policy breaches directly to management.
Recommend corrective action and improvements to prevent recurring discrepancies.
Tax, e-Invoice and Statutory Compliance
Manage and maintain documentation relating to Malaysia e-Invoice and MyInvois requirements.
Ensure sales, purchase, self-billed and other applicable e-Invoice transactions are processed correctly.
Ensure invoices and accounting records comply with applicable requirements.
Prepare supporting documents and schedules for tax computation and tax-related matters.
Assist with SST or other statutory requirements where applicable.
Liaise with tax agents and relevant authorities when required.
Keep updated on relevant accounting, tax and regulatory changes affecting the company.
Ensure statutory documents and supporting records are properly maintained.
Audit and External Liaison
Prepare financial schedules, supporting documents and information required for annual audits.
Liaise with external auditors and respond to audit queries.
Coordinate with tax agents, bankers, company secretaries and other external parties on finance-related matters.
Monitor outstanding audit and tax matters and ensure timely follow-up.
Ensure financial documentation is properly organised and readily available for audit and compliance purposes.
Follow up on audit findings and support the implementation of corrective actions.
Internal Controls and Payment Governance
Ensure financial transactions comply with company policies, approval limits and internal control procedures.
Maintain segregation of duties between payment preparation, supporting-document verification, transaction approval and bank payment release.
Ensure no employee independently prepares, approves and releases the same payment.
Maintain complete audit trails for amendments, reversals, refunds, manual journal entries and financial adjustments.
Review financial processes and identify control weaknesses or potential risks.
Support improvements to finance SOPs, documentation, reporting and approval workflows.
Maintain strict confidentiality over banking information, company accounts and financial records
Cross-Department Finance Support
Work closely with Procurement, Inventory, Sales, Operations, HR and Management on finance-related matters.
Verify and process approved staff claims, reimbursements and other payments.
Ensure departments submit complete supporting documents within the required timeline.
Provide finance-related information and guidance to other departments when required.
Assist in developing proper financial documentation and reconciliation procedures across departments.
Perform other accounting and finance-related duties assigned by management.
