Requirements
Bachelor's degree in Business Administration, Finance, Accounting, or a related field.
3-5 years of proven experience in administrative and/or finance roles, preferably within a growing company.
Proficiency in office administration tasks, including managing correspondence, supplies, and general office upkeep.
Strong record-keeping abilities with meticulous attention to detail for financial and administrative documents.
Experience in scheduling appointments, managing calendars, and coordinating meetings effectively.
Excellent communication skills, both written and verbal, in English and Bahasa Malaysia, to interact with internal teams and external stakeholders.
Demonstrated time management and organizational skills to prioritize tasks and meet deadlines in a fast-paced environment.
Proficiency in data entry and maintaining accurate records using office software and potentially basic accounting software.
Ability to work independently and as part of a team, contributing to a collaborative work environment.
Basic IT skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with CRM or VMS systems is a plus.
A proactive approach to problem-solving and a willingness to learn and adapt to new processes and technologies.
Customer service orientation with the ability to handle inquiries professionally and efficiently.
Responsibilities
Assist with daily office operations, including managing correspondence, maintaining filing systems, and ensuring the office environment is organized and presentable.
Support the finance department by performing data entry for invoices, expenses, and other financial transactions, ensuring accuracy and completeness.
Schedule and coordinate meetings, appointments, and travel arrangements for management and team members, managing calendars effectively.
Handle incoming and outgoing communications, including answering phone calls, responding to emails, and directing inquiries to the appropriate personnel.
Maintain accurate and up-to-date records of financial documents, employee information, and other important company data, adhering to record-keeping policies.
Provide administrative support to various departments as needed, including preparing reports, presentations, and other documents.
Assist in the onboarding process for new employees by preparing necessary documentation and providing basic orientation.
Manage office supplies inventory, place orders, and ensure adequate stock levels are maintained.
Collaborate with team members on various projects and tasks, demonstrating strong teamwork and communication skills.
Handle basic IT support requests, such as troubleshooting common software issues or assisting with equipment setup.
