JOB PURPOSE

• The Customer Experience Executive is responsible for managing the customer journey related to installation after the order confirmation with our sales for their dreamed swimming pool. The journey and coordination process include installation scheduling; installation progress and project handover coordination ensuring the customer is well served throughout their installation journey.

•  This is not a basic admin role. This role requires strong follow-up, clear communication, coordination skills, urgency, and the ability to handle pressure from customers and work closely with Sales; Production and Site Coordinator.
  

REQUIREMENT

• Experience:

·       2 years experience in customer service role, operation coordination or project management

• Education

·       Diploma/Degree in any discipline

• Skills/Attributes

·       Calm and remain professional while under pressure

·       Proactive communicator – you update people before they ask

·       Organised and detailed oriented

JOB RESPONSIBILITIES

• Client Communication

•        Be the primary point of contact for customers from order confirmation through to pool handover

•        Proactively update clients on installation dates, progress milestones, and any schedule changes

•        Manage client expectations professionally and calmly, especially when issues arise

•        Ensure every client feels informed and reassured throughout the installation process

•  Installation Coordination

•        Liaise with installers daily to track progress and confirm on-site activities

•        Coordinate delivery scheduling and site readiness confirmations between operations and clients

•        Log and follow up on defects or punch list items, ensuring resolution within committed timelines

•        Work closely with the Installation Coordinator; Production Head and Sales to keep all parties aligned 

• Process & Documentation

•        Maintain accurate records of each project's status, communications, and milestones

•        Ensure handover documents, checklists, and completion sign-offs are completed on time

•        Flag delays or issues to management promptly with clear context and proposed next steps

•        Submit pool cleaning requests and coordinate with outsourced cleaners post-installation
