Job Description:

We are looking for a proactive, highly organised, and responsible Clinic Administrator to oversee the daily administrative and operational functions of our specialist clinic.

This role is ideal for someone who enjoys managing clinic operations, coordinating with internal and external stakeholders, and ensuring an excellent patient experience while maintaining compliance with healthcare regulations.

Job Requirements:

  • Minimum Diploma or Bachelor's Degree in Business Administration, Healthcare Management, or a related field.

  • At least 2 years of experience in clinic, healthcare, or administrative operations is preferred.

  • Excellent communication and interpersonal skills.

  • Proficient in English, Bahasa Malaysia, Mandarin, and Hokkien. Mandarin proficiency is required to communicate effectively with Mandarin-speaking patients.

  • Good computer literacy, including Microsoft Office and clinic management systems.

  • Strong organisational, problem-solving, and multitasking abilities.

  • Detail-oriented with excellent organisational skills.

  • Professional, compassionate, and patient-focused.

Responsibilities

Job Responsibilities:

  • Oversee the day-to-day operations of the clinic to ensure smooth workflow and operational efficiency.

  • Coordinate appointment scheduling, patient registration, billing, and administrative processes.

  • Supervise and support clinic staff to maintain high standards of service and teamwork.

  • Handle patient enquiries, feedback, and complaints professionally and empathetically.

  • Maintain effective communication with doctors, government agencies, suppliers, and business partners.

  • Ensure compliance with healthcare regulations, clinic policies, licensing requirements, and standard operating procedures.

  • Monitor inventory, clinic supplies, equipment servicing, and vendor coordination.

  • Prepare administrative reports and maintain accurate clinic records.

  • Identify opportunities to improve workflow, patient experience, and operational efficiency.
