Education & Experience Requirements
Diploma or Degree in IT, Business, Operations Management, or related field
Minimum 1–2 years of experience in operations, sales operations, or bid coordination
Experience in IT/SaaS or cloud services is preferred
Experience working in fast-paced, cross-functional environments
Background in enterprise software, consulting, or services is an advantage
Proficiency in English and Mandarin is required
Technical Skills
Familiar with tools such as Google Mail, Google Meet, Google Sheets, Zoom, and Lark
Strong Excel and data management skills
Comfortable using AI tools such as ChatGPT, Copilot, and Claude
Basic knowledge of cloud platforms (AWS, GCP, Alibaba, Tencent) is a plus
Responsibilities
Cross-Department Coordination
Act as the central point of contact between sales, delivery, finance, legal, and marketing
Organize and track internal sales and bid management tasks
Document meeting minutes and track action items
Ensure timely follow-up on all tasks
Support onboarding of new operations team members
CRM & Sales Operations Management
Maintain CRM accuracy and data hygiene
Ensure sales stages reflect actual opportunity progress
Generate dashboards and reports for management visibility
Bid & Contract Administration
Support bid preparation and documentation
Manage version control of proposals
Coordinate inputs from internal stakeholders
Review contracts for billing milestones and compliance
Billing & Finance Coordination
Maintain billing trackers and triggers
Prepare invoice requests with supporting documents
Liaise with finance and sales teams on unpaid invoices
Process Improvement & Scalability
Document best practices and standardize processes
Identify operational bottlenecks and suggest improvements
Contribute to scalable workflows across global operations
