Requirements
Education Requirement: Diploma in Human Resource, Business Administration, Office Management or related field.
Minimum 1 to 2 years of working experience in HR, administration or clerical support.
Fresh candidates with internship experience in HR/admin may be considered.
Basic knowledge of HR functions such as recruitment, attendance, leave, payroll support and employee documentation is an advantage.
Able to use Microsoft Office, especially Word, Excel and PowerPoint.
Good filing, documentation and data entry skills.
Able to communicate professionally with staff, candidates and external parties.
Detail-oriented, organized and able to follow instructions properly.
Able to multitask and support urgent HR/admin matters when required.
Honest, responsible and able to handle confidential information.
Willing to work in TTDI, Kuala Lumpur.
Language Requirement: Bahasa Malaysia & English
Responsibilities
HR Administration & Documentation
Maintain and update employee personal files, HR records, contracts, forms and related documents.
Assist in preparing HR letters such as appointment letters, confirmation letters, warning letters, transfer letters and other official correspondence.
Ensure all HR documents are properly filed, organized and kept confidential.
Recruitment & Onboarding Support
Assist in posting job advertisements, arranging interviews and communicating with candidates.
Help prepare employment forms, interview documents and onboarding checklists.
Support new employee onboarding, including document collection and orientation preparation.
Attendance, Leave & Payroll Support
Assist in monitoring attendance, leave records, overtime and staff movement.
Help compile monthly attendance and payroll-related information for checking.
Coordinate with employees on missing attendance records, leave forms or supporting documents.
Training & Employee Development Support
Assist in preparing training records, training forms and attendance lists.
Support HR Executive in coordinating training sessions, HRD Corp claims and training documentation.
Maintain proper filing of certificates and training records.
Employee Relations & Staff Welfare
Assist in staff communication, memos and internal announcements.
Support employee engagement activities, company events, sports/recreational activities and welfare matters.
Help coordinate staff uniforms, name cards, claims and general HR requests.
Admin & Office Support
Assist with general office administration, filing, data entry and document control.
Support travel, accommodation, claims and logistics arrangements when required.
Assist in preparing reports, meeting minutes, forms and HR-related trackers.
Compliance & Confidentiality
Ensure HR records and employee information are handled with strict confidentiality.
Assist in preparing documents for internal audits and compliance checks.
Follow company policies, procedures and HR best practices.
