Responsibilities:

  • Documentation & Information Management
  • Maintain and organize project documentation, project plans, logs, and templates in centralized repositories (e.g., SharePoint, *************).
  • Ensure version control and document accessibility for project teams and stakeholders.
  • Assist in maintaining Risk, Action, Issue, and Dependency (RAID) logs under the guidance of senior team members.
  • Reporting & Data Tracking
  • Assist in collecting, collating, and formatting weekly/monthly project status reports and dashboards.
  • Track project milestones, schedules, and deliverables against established baselines.
  • Support basic financial tracking, such as logging project expenses, processing invoices, or tracking resource allocations.
  • Follow up with relevant stakeholders on outstanding items and pending actions
  • Meeting Coordination & Communication
  • Schedule project meetings, workshops, and steering committees, managing calendars and sending out agendas.
  • Attend meetings to take accurate minutes, capture action items, and follow up with owners to ensure timely execution.
  • Act as a point of contact for internal queries, facilitating smooth communication between project teams and stakeholders.
  • PMO Governance & Process Support
  • Ensure projects comply with PMO methodologies, best practices, and governance frameworks.
  • Help onboard new project resources by setting up system access, tools, and standard orientation packages.
  • Support continuous improvement initiatives by identifying process inefficiencies or updating PMO templates


Requirements:

Essential

  • Bachelor’s degree in Business Administration, Project Management, Information Technology, or a related field (or equivalent practical experience).
  • 2 to 5 years of administrative experience, preferably within a corporate, tech, or project-driven environment. (Previous internship or project coordination experience is a strong plus).
  • Proficient in Microsoft Office Suite, including Project, PowerPoint, Word, Excel and Visio

  • Exceptional organizational and time-management skills with the ability to handle multiple competing priorities.
  • High attention to detail, especially regarding data accuracy and formatting.
  • Strong verbal and written communication skills.
  • Good Excel and data management skills, with the ability to maintain and analyze project-related data accurately.
  • Strong interpersonal and stakeholder coordination skills, with the ability to communicate and follow up effectively with internal teams, vendors, and customers.
