Overview
The Senior HR & Admin Executive supports the Head of Human Resources & Admin in delivering day-to-day HR operations across the Group, covering payroll, statutory compliance, recruitment and onboarding support, training and probation management, employee relations, employee engagement, and performance appraisal.
Key Responsibilities
Payroll & Compensation
· Process and ensure the Group's monthly payroll is completed accurately and on time.
· Coordinate with the HRMS vendor to resolve any system defects or issues.
· Upload monthly payslips to the HRMS for staff to download.
· Prepare and upload EA forms for yearly individual tax filing.
· Administer leave management for non-managerial staff, foreign workers, and interns.
· Process SOCSO claims for eligible staff.
· Ensure new employee profiles are created with all required documents uploaded.
· Maintain and compile employee profiles for external audit and B Corp audit purposes.
Recruitment & Onboarding
· Prepare offer letters for executive and non-managerial new hires, and route for the GMD's signature.
· Liaise with the Foreign Worker (FW) agent on hiring and documentation matters.
Talent & Probation Management
· Coordinate training programs and maintain training records.
· Conduct quarterly Training Needs Analysis based on HOD feedback.
· Propose and arrange suitable in-house or external training.
· Lead training shutdown activities and programs in coordination with HODs and superiors.
· Apply for HRDC grants and submit claims in line with approval guidelines.
· Monitor probation status for non-managerial staff, including PIP tracking, extensions, and confirmations.
Statutory Compliance & Local Authority Liaison
· Stamp all EA forms in accordance with LHDN regulations.
· Represent the company at audits organised by the Labour Office or PERKESO.
· Stay current on Employment Act updates and incorporate changes into company SOPs.
Employee Relations & Advisory
· Investigate staff misconduct cases and assess the appropriate course of action.
· Issue verbal warnings and follow up with HODs as needed.
· Issue show-cause letters and coordinate with HODs on warning letter decisions.
· Monitor employee behaviour and motivation following disciplinary action.
· Provide HR advisory support and guidance to employees.
Employee Engagement
· Coordinate employee welfare programs as the Employee Representative.
· Organise employee engagement activities, such as CSR initiatives and cross-department events.
KPI Tracking & Performance Appraisal
· Conduct half-yearly and yearly performance surveys for the company and individuals.
· Align with superiors on survey design and participants.
· Compile survey results and present to management.
· Conduct yearly individual performance appraisals and compile reports for management.
· Action approved outcomes, prepare related letters for the GMD's signature, and communicate results and any changes to employment terms to staff individually.
SOP Management
· Keep the SOPs aligned with the latest Employment Act requirements.
· Ensure employees understand and acknowledge company SOPs, refreshing terms periodically through briefings.

Preferred Qualifications That Set You Apart:
• Diploma/Degree in Human Resource Management, Business Administration, or related field
• Sound knowledge of Malaysian employment law and statutory processes (EPF, SOCSO, LHDN, Employment Act)
• Experience with payroll processing and HRMS systems
• Meticulous, well-organised, and comfortable handling confidential information
• Comfortable liaising across departments, with vendors, and with government authorities
• Calm, fair, and solutions-focused when handling employee relations matters
· Discreet and trustworthy when handling confidential employee information.
