Job Description
Manage and oversee the company’s day-to-day administrative and office operations.
Coordinate service schedules, appointments and administrative arrangements for pest control technicians and customers.
Handle customer enquiries, service requests, feedback and follow-up matters professionally.
Prepare quotations, invoices, purchase orders, reports, letters and other business documents.
Maintain accurate customer, employee, service and company records.
Monitor accounts receivable, payment collection and outstanding invoices, and liaise with customers when necessary.
Assist with basic accounting and finance administration, including billing and expense tracking.
Coordinate office supplies, equipment, maintenance and other administrative requirements.
Maintain proper filing systems and ensure documents are organised and readily accessible.
Assist with recruitment, employee records, attendance, leave administration and other HR-related matters.
Liaise with suppliers, contractors, customers and relevant external parties.
Prepare regular administrative and operational reports for management.
Ensure administrative procedures are carried out efficiently and in accordance with company policies.
Support management in implementing administrative processes and improving office efficiency.
Perform other administrative and operational duties as assigned by management.
Requirements
Diploma or Degree in
Business Administration, Management, Office Administration or a related discipline
.
At least
3 years of relevant experience in administration, office management or operations
.
Experience in the
pest control, facilities management, cleaning, maintenance or service industry
will be an advantage.
Strong organisational, coordination and time-management skills.
Good written and verbal communication skills.
Proficient in
Microsoft Office, especially Microsoft Word and Excel
.
Experience with accounting, invoicing or business management software will be an advantage.
Able to work independently as well as coordinate effectively with management and operational staff.
Meticulous, responsible and able to maintain accurate records.
Good customer service and problem-solving skills.
Able to manage multiple tasks and work effectively in a fast-paced environment.
Knowledge of basic HR and accounting administration will be an advantage.
Candidates must be willing to work in a service-oriented environment and coordinate with field technicians and customers.
