Job Summary
The Hostel Receptionist is responsible for providing friendly, efficient, and professional service to guests. The role includes managing check-ins and check-outs, handling reservations and payments, responding to guest enquiries, and ensuring a smooth and positive guest experience throughout their stay.
Key Responsibilities Guest Services
- Welcome and assist guests in a friendly and professional manner.
- Handle guest check-in and check-out procedures accurately and efficiently.
- Verify guest identification, booking details, and payment information.
- Provide information about the hostel, facilities, services, local attractions, transportation, and nearby establishments.
- Respond promptly to guest enquiries, requests, and complaints.
- Follow up on guest concerns and escalate issues to the Hostel Manager when necessary.
Reservations and Payments
- Manage bookings and reservations through the hostel's PMS and online booking platforms.
- Monitor arrivals, departures, cancellations, no-shows, and room availability.
- Process cash, credit card, and other payment transactions accurately.
- Issue receipts and maintain proper payment and transaction records.
- Ensure reservation details are correctly updated in the PMS.
Front Desk Operations
- Maintain a clean, organized, and presentable reception area.
- Answer telephone calls, emails, and online guest messages promptly and professionally.
- Coordinate with housekeeping regarding room status, cleaning priorities, and maintenance concerns.
- Report maintenance issues and follow up on outstanding repairs.
- Conduct shift handovers and ensure all important information is communicated to the next shift.
Safety and Security
- Follow hostel policies, SOPs, and security procedures at all times.
- Monitor access to the property and report suspicious activities or security concerns.
- Handle emergency situations according to established procedures.
- Safeguard guest information, hostel property, keys, access cards, and cash.
Administrative Duties
- Prepare daily reports, including occupancy, cash, guest feedback, and shift reports, as required.
- Maintain accurate records and documentation.
- Assist with inventory monitoring for front office supplies and guest items.
- Support hostel operations and perform other duties assigned by the Hostel Manager.

Working Hours
Shift-based, according to the hostel's operational requirements, including weekends and public holidays.
