1. Position Purpose

The Dynamics 365 Manager is responsible for the effective management, configuration, optimisation and adoption of the organisation's Microsoft Dynamics 365 environment.

The role acts as the principal business owner and internal specialist for Dynamics 365, translating organisational requirements into practical CRM solutions that improve stakeholder management, programme delivery, data quality, reporting and organisational decision-making.

This is primarily a functional and platform management role rather than a software development role. The position will work closely with business teams to understand their requirements, configure and improve Dynamics 365, establish effective processes and workflows, maintain data standards, support users and coordinate specialist technical partners where development or integration work is required.

The role will also support the broader Microsoft ecosystem, particularly the integration of Dynamics 365 with Microsoft 365, Power Platform, Power BI and other organisational systems.



2. Key Responsibilities2.1 Dynamics 365 Platform Management
  • Manage the day-to-day operation and functional administration of Microsoft Dynamics 365.
  • Configure and maintain entities/tables, fields, forms, views, dashboards and business processes.
  • Manage user roles, permissions and access in accordance with organisational policies.
  • Maintain system configuration and documentation.
  • Coordinate testing and deployment of system changes and enhancements.
  • Identify opportunities to improve the usability, efficiency and effectiveness of the platform.
  • Maintain an appropriate development and change-management process for configuration changes.
  • Coordinate with IT and external specialists on technical issues, integrations and platform upgrades.
2.2 Business Process and Workflow Configuration
  • Work with departments to understand existing processes and translate requirements into effective Dynamics 365 solutions.
  • Design and configure workflows, business rules, automated processes and notifications.
  • Use Power Automate and other Microsoft Power Platform capabilities to automate appropriate business processes.
  • Identify opportunities to replace spreadsheets, manual processes and disconnected databases with structured CRM processes.
  • Ensure system design supports organisational rather than individual or departmental requirements.
  • Regularly review processes to identify opportunities for simplification and automation.
2.3 CRM and Stakeholder Management

Support the organisation in using Dynamics 365 as the central platform for managing relationships with key stakeholders.

This may include:

  • organisations and member bodies;
  • stakeholder and contact management;
  • programme participation;
  • grants and funding;
  • organisational assessments;
  • events and activities;
  • communications and engagement;
  • agreements and commitments;
  • projects and programme delivery; and
  • other organisational relationships and interactions.

Develop a clear, organisation-wide view of stakeholder relationships and activity through appropriate CRM structures.

2.4 Data Management and Governance
  • Establish and maintain high standards of CRM data quality.
  • Develop data standards, naming conventions and data-management procedures.
  • Monitor completeness, accuracy, duplication and consistency of CRM data.
  • Coordinate data cleansing, migration and enrichment activities.
  • Establish appropriate ownership and accountability for data across departments.
  • Ensure appropriate controls are applied to confidential and personal information.
  • Work with relevant colleagues to support compliance with applicable privacy, security and data-protection requirements.
2.5 Reporting and Analytics
  • Develop dashboards and reports that provide meaningful operational and management information.
  • Work with stakeholders to identify key measures and reporting requirements.
  • Support integration between Dynamics 365, Power BI and other organisational data sources.
  • Improve management visibility of organisational activities, programmes, stakeholders and outcomes.
  • Support the development of reliable organisation-wide datasets for analysis and decision-making.
  • Reduce reliance on manually produced reports and disconnected spreadsheets.
2.6 User Adoption and Support

A key measure of success for the role will be whether Dynamics 365 is effectively used across the organisation.

The Dynamics 365 Manager will:

  • promote consistent and effective use of the platform;
  • provide practical support to users;
  • develop user guides, procedures and training materials;
  • deliver onboarding and training;
  • identify barriers to adoption and implement solutions;
  • develop departmental champions and super-users where appropriate;
  • gather user feedback and incorporate it into system improvements; and
  • promote a culture in which organisational information is appropriately captured and maintained within agreed systems.
2.7 System Development and Continuous Improvement
  • Maintain a prioritised roadmap of Dynamics 365 improvements.
  • Gather, assess and document business requirements.
  • Evaluate requests based on organisational value, user impact, cost and complexity.
  • Coordinate user acceptance testing for significant changes.
  • Monitor developments across Dynamics 365 and the Microsoft Power Platform and identify capabilities relevant to the organisation.
  • Recommend improvements that increase efficiency, automation, data quality or user experience.
2.8 Integration and Microsoft Ecosystem

Work with the wider technology function to ensure Dynamics 365 operates effectively within the organisation's technology environment.

This includes integration, where appropriate, with:

  • Microsoft 365;
  • Outlook;
  • Teams;
  • SharePoint;
  • Power BI;
  • Power Automate;
  • Power Apps;
  • websites and digital platforms;
  • finance and operational systems; and
  • other relevant databases and applications.

The role is not expected to undertake complex software development but should have sufficient technical understanding to define requirements, assess solutions and manage specialist providers.

2.9 Vendor and Partner Management
  • Manage relationships with Dynamics 365 implementation partners, consultants and specialist vendors.
  • Develop clear scopes and requirements for external technical work.
  • Monitor delivery, budgets, timelines and quality.
  • Ensure knowledge is transferred from external providers to internal staff.
  • Avoid unnecessary customisation and external dependency where configuration using standard Microsoft capabilities can meet the business requirement.
  • Support procurement and evaluation of Dynamics-related services where required.

4. Qualifications and ExperienceEssential
  • Demonstrated experience administering, configuring or managing Microsoft Dynamics 365 in a business environment.
  • Strong functional knowledge of Dynamics 365 CRM applications.
  • Experience translating business requirements into CRM configurations and processes.
  • Experience configuring tables/entities, forms, views, dashboards, security roles and business processes.
  • Practical experience with Microsoft Power Platform, particularly Power Automate.
  • Experience managing CRM data and improving data quality.
  • Experience developing operational dashboards and reports.
  • Demonstrated ability to work with non-technical stakeholders to understand and improve business processes.
  • Experience supporting and training users.
  • Strong analytical and problem-solving skills.
  • Ability to manage multiple requirements and prioritise system improvements.
Desirable
  • Microsoft Dynamics 365 or Power Platform certification.
  • Experience with Power BI.
  • Experience with Power Apps.
  • Understanding of Microsoft Dataverse.
  • Experience integrating Dynamics 365 with Microsoft 365 and other platforms.
  • Experience managing external Dynamics 365 implementation partners.
  • Experience with CRM implementation or significant platform transformation.
  • Experience working within a membership organisation, international organisation, sport, not-for-profit or similarly complex stakeholder environment.



5. Technical Capability

The successful candidate should have strong functional expertise in:

  • Microsoft Dynamics 365;
  • Microsoft Dataverse;
  • Power Automate;
  • Dynamics security and permissions;
  • CRM configuration;
  • data import, cleansing and management;
  • dashboards and reporting; and
  • business-process configuration.

Working knowledge of the following would be advantageous:

  • Power BI;
  • Power Apps;
  • SharePoint;
  • Microsoft Teams;
  • Microsoft 365;
  • Entra ID;
  • APIs and system integration concepts; and
  • data governance and information security.

Advanced software development or coding expertise is not a core requirement of the role.
