We are an Australian-owned E-waste company based in New South Wales and Victoria. With a strong commitment to environmental sustainability, we are expanding our operations and strengthening our remote support team in Malaysia.
We are looking for a highly organised, responsible and detail-oriented HR & Administration Executive to support our growing business. This is a multi-functional role covering procurement, HR, downstream supplier management, compliance and general administration.

Contract Details:
This is an Independent Contractor position based in Malaysia. The role is intended to provide ongoing administrative support to our Australian operations.
There is no EPF or SOCSO contribution under this Independent Contractor arrangement.
Working Hours:
The working hours are Monday to Friday from 7:30 am to 6:00 pm (AEST - Australian Eastern Standard Time), with a 30-minute lunch break included.
Please note that during Australian summers, this corresponds to 4:30 am to 3:00 pm in Malaysia time, and during winters, it's 5:30 am to 4:00 pm in Malaysia time.
Public Holidays:
This position is engaged as an Independent Contractor. There is no annual leave, sick leave or public holiday entitlement under this contractor arrangement.
The successful candidate is expected to be available during the agreed working hours.
Additional Information:

- You must have a suitable working environment for remote work.

Job Description
Key Responsibilities:
- The successful candidate will provide support across several key areas of the business, including:
Procurement & Purchasing:
- Source products, equipment, services and suppliers.
- Request and compare supplier quotations.
- Follow up on pricing, orders, deliveries and invoices.
- Maintain purchasing records and supporting documents.
- Coordinate purchasing requirements with internal teams and suppliers.
Human Resources (HR):
- Assist with recruitment and job advertisements.
- Screen CVs and coordinate interviews.
- Maintain employee and contractor records.
- Assist with onboarding and offboarding processes.
- Prepare and maintain HR-related documents.
- Assist management with general HR administration and follow-up.
Downstream Supplier Management:
- Maintain supplier and downstream service provider records.
- Communicate and follow up with suppliers and service providers.
- Coordinate collection, delivery and service arrangements.
- Request and compare quotations.
- Follow up outstanding supplier matters.
- Ensure supplier information and supporting documents are properly maintained.
Compliance Management:
- Maintain company compliance records and documentation.
- Follow up certificates, licences, insurance and other required documents.
- Assist with audit preparation and documentation.
- Follow up corrective actions and outstanding compliance matters.
- Assist management and consultants with compliance-related tasks.
General Administration:
- Prepare reports, spreadsheets, forms and business documents.
- Maintain company records and Google Drive.
- Coordinate and follow up tasks across different departments.
- Follow up outstanding tasks with internal teams and external parties.
- Assist with meetings and administrative follow-up.
- Maintain accurate records and ensure documents are properly filed.
- Complete other administrative duties assigned by management.

Essential Skills, Experience, Attitude, and Expectations:
- Minimum 3 years of proven experience in administration, operations, HR, procurement, compliance or a related role.
- Strong attention to detail, excellent organizational and time-management skills.
- English is a mandatory requirement – candidates must have strong English communication skills in both speaking and writing.
- Previous HR, compliance, audit or ISO experience will be highly regarded.
- Demonstrated ability to multitask and manage competing priorities.
- Strong follow-up skills and ability to ensure tasks are completed.
- Able to work independently with minimal supervision.
- Proficiency in Microsoft Office, particularly Word and Excel.
- Comfortable working with documents, spreadsheets and administrative software.
- Fast learner with the ability to adapt to changing requirements.
- Strong communication and interpersonal skills.
- Professional, responsible and reliable attitude.
- High level of accuracy when handling administrative, HR and compliance documentation.
