Document Controller – Construction Project
Job Summary
We are seeking an experienced Document Controller to manage and maintain project documentation throughout the construction lifecycle. The successful candidate will be responsible for document control, submission tracking, technical documentation, reporting, compliance, and project close-out documentation.
Key Responsibilities
- Set up and maintain the project document control system, including folder structures, document numbering, registers, and filing systems.
- Manage the Document Management System (DMS), Common Data Environment (CDE), and hard-copy project records where required.
- Receive, register, distribute, and track incoming and outgoing project documents, including drawings, specifications, contracts, correspondence, and meeting minutes.
- Ensure the latest approved revisions of drawings and documents are available for construction and properly control superseded documents.
- Manage and track technical submissions, including shop drawings, Material Approval Requests (MAR), method statements, samples, and product data.
- Maintain registers for RFIs, Technical Queries (TQ), Site Instructions, NCRs, inspection requests, ITPs, test certificates, and other technical documentation.
- Track Variation Orders (VO), Extension of Time (EOT) submissions, and related contractual correspondence.
- Coordinate document flow between consultants, architects, engineers, subcontractors, suppliers, and project teams.
- Prepare transmittals, document registers, submission logs, and periodic document control reports.
- Follow up on outstanding submissions, approvals, and overdue responses, and monitor document turnaround times.
- Ensure project documentation complies with company procedures, contractual requirements, and applicable ISO standards.
- Support project audits and maintain proper records for project handover and close-out.
- Compile and maintain as-built drawings, O&M manuals, warranties, certificates, and final handover documentation.
- Archive project records in accordance with company and project retention requirements.
Requirements
- Diploma/Degree in Business Administration, Engineering, Construction Management, or a related field.
- Minimum 1* years of experience* in document control, preferably within construction, engineering, or infrastructure projects.
- Familiarity with construction documentation and processes.
- Experience with DMS/CDE platforms and Microsoft Office.
- Good document management, coordination, and follow-up skills.
- Strong attention to detail and ability to manage multiple documents and deadlines.
- Good communication skills and ability to coordinate with consultants, contractors, subcontractors, and project teams.
Job Type: Full-time
Pay: RM3,500.00 - RM4,500.00 per month
Work Location: In person
