Job Summary:
We are seeking a friendly and organized Receptionist to manage front desk operations and provide excellent customer service. The ideal candidate should have a good understanding of office software to handle administrative tasks efficiently and ensure smooth daily operations.
Key Responsibilities:
Greet and assist visitors, clients, and staff in a courteous and professional manner.
Answer and direct incoming calls, take messages, and handle inquiries.
Manage the reception area to ensure it is tidy and welcoming.
Maintain and update appointment schedules and calendars.
Handle administrative tasks such as data entry, filing, and correspondence.
Use office software (e.g., MS Office Suite, email platforms, calendars) to create reports, spreadsheets, and communication materials.
Maintain records of visitors and employee attendance if required.
Coordinate with other departments to ensure efficient operations.
Manage incoming and outgoing mail and packages.
Support other administrative duties as needed.
Required Skills and Knowledge:
Proven experience as a Receptionist or in a similar administrative role.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with scheduling software and communication tools (e.g., Zoom, Teams) is a plus.
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Professional appearance and demeanor.
Basic knowledge of office equipment and systems.
Qualifications:
High school diploma or equivalent is required; additional diploma or certification in office administration or related field is a plus.
Prior experience in an educational environment is preferred.
