Main Responsibilities:
1. Foreign Worker Management
- Manage and monitor foreign workers’ documentation, permits, passports and employment-related records.
- Coordinate matters related to foreign worker applications, renewals, medical check-ups and statutory requirements.
- Liaise with relevant authorities, agents and external parties on foreign worker matters.
- Maintain accurate and up-to-date foreign worker records.
2. Training & Development
- Coordinate and arrange internal and external training programmes for employees.
- Maintain training records, attendance and supporting documentation.
- Monitor training requirements and ensure completion within the required timeline.
- Assist in preparing training reports and documentation for audit purposes.
3. Audit & Documentation
- Maintain proper HR and administrative documentation and records.
- Prepare and organize documents required for internal and external audits.
- Ensure HR documentation complies with company policies and relevant statutory requirements.
- Follow up on audit findings and assist in implementing corrective actions.
4. Hostel Management
- Manage and monitor employee hostel operations and facilities.
- Ensure hostel cleanliness, safety and compliance with company requirements.
- Coordinate hostel allocation, check-in/check-out and employee movement.
- Conduct regular hostel inspections and follow up on maintenance or other issues.
Qualification & Requirements
Education
- Diploma or Bachelor's Degree in Human Resources Management, Business Administration, Management or a related discipline.
- Fresh graduates are encouraged to apply.
Experience
- 0–2 years of experience in HR administration, employee engagement, training coordination, foreign worker administration or a related field.
- Internship experience in HR or administration will be considered.
- Prior experience in foreign worker administration or immigration matters is an advantage but not mandatory.
Knowledge & Skills
- Basic understanding of HR processes and employment practices.
- Good administrative and documentation skills.
- Good communication and interpersonal skills.
- Good command of written and spoken English and Bahasa Malaysia.
- Proficient in Microsoft Office, particularly Word and Excel.
- Strong organizational and follow-up skills.
- Detail-oriented and able to handle confidential employee information.
- Willingness to learn foreign worker, immigration and HR compliance processes.
