ROLE
We are looking for a Customer Service & Order Coordinator to help manage customer enquiries and the day-to-day processing of orders.
You will be involved from the point an order or enquiry comes in through to confirmation, fulfilment and follow-up. The role requires careful handling of order details, regular communication with customers and coordination with internal or external parties.
YOU'LL MANAGECustomer enquiries
- Respond to customer questions through phone, email or messaging channels.
- Provide information about products, orders, delivery arrangements and general services.
- Understand customer requirements and record important details accurately.
- Follow up on enquiries that require additional information or confirmation.
- Handle routine customer concerns professionally and escalate issues when necessary.
Order processing
- Review incoming orders and check that key information is complete.
- Confirm product selections, quantities, customer details and delivery requirements.
- Update order information in the relevant system or tracking records.
- Coordinate changes, cancellations or special requests according to company procedures.
- Follow up on incomplete or unusual orders before processing.
Delivery coordination
- Coordinate delivery arrangements with relevant internal teams or logistics partners.
- Confirm delivery dates, locations and other important details.
- Keep customers informed about confirmed arrangements or changes.
- Follow up on delivery-related issues and communicate updates promptly.
Order follow-up
- Monitor orders that are pending, in progress or require additional action.
- Coordinate with the relevant team when an order is delayed or requires clarification.
- Maintain accurate records of completed and outstanding orders.
- Assist with post-order enquiries and customer follow-up.
Administration
- Maintain customer records and order documentation.
- Prepare simple order reports and daily updates where required.
- Keep spreadsheets, tracking files and communication records organised.
- Support other customer service and administrative tasks when needed.
YOU'LL NEED
Customer communication
You should be comfortable communicating with customers clearly and politely through written and verbal channels.
Organisation
Orders often contain several details that need to match. You should be careful with names, quantities, addresses, dates and special instructions.
Follow-through
When an order cannot be completed immediately, you should be able to keep track of what is outstanding and follow it up.
Computer skills
You should be comfortable with email, spreadsheets and standard office software.
Experience
- Around 1–2 years of experience in customer service, order processing, administration, e-commerce or a similar role.
- Diploma or equivalent qualification in Business, Customer Service, Administration or a related field is preferred.
- Good written and spoken English.
HELPFUL EXPERIENCE
Experience in any of the following will be useful:
- E-commerce or online orders
- Retail or gifting
- Order management systems
- Logistics or delivery coordination
- Customer relationship management
- Excel / Google Sheets
- Handling customised or time-sensitive orders
Relevant experience from another customer-facing or operations environment will also be considered.
THE IMPORTANT PART
A good order coordinator keeps the customer informed and the details accurate.
A customer may change an order, request a specific delivery arrangement or ask for an update while the order is already being processed. You should be comfortable handling these situations without losing track of the original request.
The role requires patience, accuracy and a practical approach to solving day-to-day issues.
Pay: $2,700.00 - $3,400.00 per month
