Job Overview

We are seeking an experienced Contract Service Executive to support the effective management and execution of maintenance service contracts involving contractors, vendors, and Original Equipment Manufacturers (OEMs).

The role is responsible for strengthening the integration and coordination between Production and Maintenance, ensuring effective execution of outsourced maintenance activities, monitoring contract performance, and driving continuous improvement in maintenance work processes.

The successful candidate will provide coordination and technical support throughout the maintenance contracting process, including scope development, contractor engagement, performance monitoring, budget and utilisation tracking, risk management, and compliance with applicable maintenance and HSSE requirements.

Key Responsibilities

• Drive, coordinate, and manage the Company's active maintenance contracts involving contractors, vendors, and OEMs.
• Strengthen integration and coordination between Production and Maintenance to ensure effective execution of maintenance activities.
• Support the implementation of the Execute Maintenance Work Process, particularly activities involving external service providers, contractors, and OEMs.
• Develop and ensure clear and well-defined scope of work (SOW) for outsourced maintenance activities.
• Support the development and implementation of the maintenance outsourcing strategy in alignment with the Annual Maintenance Plan and Budget.
• Coordinate the engagement and mobilisation of contractors, vendors, and OEMs for maintenance activities.
• Ensure clear definition of roles and responsibilities throughout the contract management process, including:
• Contract Owner
• Contract Administrator
• Evaluator
• Approver
• Monitor contractor and service provider performance against agreed scope, schedule, cost, quality, HSSE, and service requirements.
• Monitor contract budget, expenditure, utilisation, and overall financial performance.
• Identify potential risks associated with outsourced maintenance activities and ensure appropriate risk and HSSE considerations are addressed.
• Coordinate with Maintenance Executives and relevant stakeholders to ensure external services are properly planned and executed.
• Monitor, analyse, and identify gaps in the implementation and performance of the Execute Maintenance Work Process.
• Identify areas for improvement and recommend corrective and preventive actions to improve maintenance performance.
• Support continuous improvement initiatives to enhance compliance with MFWP and PMMS score targets.
• Ensure maintenance contract activities are properly documented and records are accurately maintained.
• Prepare regular reports, performance analysis, contract status updates, and management reports.
• Utilise SAP ECC6 – Plant Maintenance (PM) Module for maintenance-related activities, monitoring, and documentation.
• Work closely with Production, Maintenance, Procurement, Contracts, HSSE, Finance, contractors, vendors, and OEMs to resolve operational and contractual issues.
• Support contract evaluation, performance reviews, meetings, and follow-up actions with contractors and service providers.
• Ensure outsourced maintenance activities are executed in accordance with Company procedures, standards, contractual requirements, and applicable regulatory requirements.

Maintenance Work Process

The candidate should have an understanding of maintenance work processes, particularly:

• Performance monitoring and gap analysis
• Continuous improvement
• MFWP and PMMS performance targets

Qualifications & Requirements

• Minimum 5 years of relevant working experience in the related industry as required by the Company.
• Bachelor's Degree in Engineering, Business Administration, Contract Management, Maintenance Management, or other relevant discipline, or equivalent qualification.
• Experience in maintenance contract management, contractor management, service management, or plant maintenance will be an advantage.
• Strong understanding of maintenance outsourcing and external service management.
• Experience coordinating with contractors, vendors, and OEMs.
• Good understanding of maintenance planning, execution, performance monitoring, and work processes.
• Familiar with SAP ECC6 – Plant Maintenance (PM) Module.
• Proficient in Microsoft Office and other relevant computer applications.
• Strong report writing, documentation, analytical, and presentation skills.
• Good communication and interpersonal skills.
• Strong coordination and stakeholder management abilities.
• Ability to analyse performance data, identify gaps, and recommend improvement actions.
• Strong understanding of HSSE requirements and risk management.
• Able to work independently and effectively with multidisciplinary teams.
