Job Summary

We are seeking a proactive and organised Operations Executive to join our Project Marketing team.

As an Operations Executive, you will play an integral role in supporting the day-to-day operations of the department and ensuring the smooth execution of project marketing activities. Working closely with internal stakeholders, you will coordinate operational processes, manage administrative functions, support project launches, and facilitate effective communication across the team. Your ability to stay organised, manage multiple priorities and provide reliable operational support will contribute to the successful delivery of business initiatives and an efficient working environment.

Key Responsibilities

• Coordinate and support the day-to-day operations of the Project Marketing department.
• Provide administrative and secretarial support to the Head of Department, including calendar management, scheduling meetings and coordinating appointments.
• Manage incoming calls, emails and correspondence, ensuring timely follow-up and effective communication.
• Prepare reports, presentation materials, meeting agendas and minutes.
• Coordinate meetings, departmental activities and business events.
• Maintain proper documentation, filing systems and confidential records.
• Liaise with internal departments and external stakeholders to facilitate operational requirements.
• Coordinate logistics and operational support for project launches, including show-flat setup and launch activities.
• Monitor operational processes and recommend improvements to enhance efficiency.
• Provide general administrative and operational support to the department as required.

Requirements

• Minimum Diploma or equivalent qualification.
• 1 - 2 years of experience in operations, administration, executive support or a similar role.
• Strong organisational and coordination skills, with the ability to manage multiple priorities.
• Proficient in Microsoft Office applications (Word, Excel, PowerPoint and Outlook).
• Excellent verbal and written communication skills.
• Meticulous with strong attention to detail.
• Resourceful, proactive and able to work independently as well as collaboratively.
• Strong interpersonal skills with the ability to work effectively across different teams.
• Willing to work on weekends and public holidays when required.
