The Project Administration Assistant provides day-to-day administrative support to help project teams keep information, documentation and schedules organised.
You will work closely with project team members and other stakeholders on documentation, meeting arrangements, progress updates and general project coordination.
This is a support role suited to someone who is organised, detail-conscious and comfortable working with several pieces of information at the same time.
YOUR SUPPORTProject documentation
- Prepare, format and organise project documents, reports and correspondence.
- Maintain digital and physical project filing systems.
- Keep document versions and records properly organised.
- Assist with compiling information required for project updates and submissions.
- Check documents for basic completeness and accuracy.
Scheduling & meetings
- Coordinate project meetings, appointments and discussions.
- Prepare meeting agendas, materials and supporting documents where required.
- Record meeting notes, action items and follow-up requirements.
- Maintain project calendars and update schedules when arrangements change.
Progress tracking
- Update project trackers, task lists and status records.
- Follow up with team members on outstanding actions and deadlines.
- Compile progress information for internal updates.
- Flag overdue or incomplete items to the relevant project team member.
Coordination
- Assist with communication between internal teams, clients, suppliers and other external parties.
- Help gather information needed for project activities.
- Coordinate routine administrative requests and follow-ups.
- Support the preparation of quotations, purchase documents or other project-related paperwork where required.
General project support
- Assist with presentations, spreadsheets and project summaries.
- Maintain contact lists and project reference information.
- Support document submission and filing processes.
- Provide general administrative assistance to the project team as required.
YOU WILL NEED
- Diploma or equivalent qualification in Business Administration, Project Management, Business, Management or a related discipline.
- Around 1–2 years of experience in administration, project support, coordination or a similar role.
- Good written and spoken English.
- Comfortable working with Microsoft Office, Google Workspace or similar productivity tools.
- Good working knowledge of spreadsheets and document formatting.
- Strong attention to detail.
- Able to keep track of deadlines and follow up on outstanding tasks.
- Organised and comfortable handling multiple documents and requests.
- Professional communication skills when dealing with internal and external parties.
Fresh graduates with relevant internship or project coordination experience may also be considered.

THE WORK YOU'LL SUPPORT
A project may involve several people, multiple deadlines and a large amount of documentation.
Your role is to help keep those details in order.
That can mean updating a tracker after a meeting, preparing documents for a submission, checking whether an action has been completed or following up with someone before a deadline.
The position requires consistency and follow-through more than advanced technical expertise.
Pay: $2,800.00 - $3,500.00 per month
