Job Scope:
Special Projects
• Singapore Symposium: Support the planning, coordination and execution of the Singapore Symposium. Coordinate meetings, monitor project timelines and action items, prepare reports and meeting materials, liaise with internal and external stakeholders, maintain project documentation, coordinate across functional teams, and provide administrative and operational support to ensure the successful delivery of the Symposium.
• Campus Anniversary – liaise with student organisers and assist with the facilitation of event planning and preparations.
Admissions
• Coordinate admissions interviews between applicants and faculty members, ensuring smooth scheduling and communication.
• Maintain and update databases in a timely and accurate manner.
• Support Admissions events, assisting with logistics and event day execution.
Outreach
• Assist the Student Development Manager with planning and executing outreach events, including recruiting and coordinating student ambassadors, securing venues, preparing logistics and collaterals, producing presentation slides, administering feedback surveys, and compiling survey reports.
Finance/Procurements
• Assist with procurement processes by sourcing quotations and liaising with vendors.
• Assist with reconciling SAP reports.
Alumni
• Maintain and update the alumni database periodically.
• Assist with organising alumni communications and events.
Requirements
• Diploma holder with at least 3–4 years of relevant administrative or project coordination experience; or
• Able to thrive in a fast-paced and dynamic environment, managing multiple priorities while meeting tight deadlines.
• Strong organisational and project coordination skills, with the ability to follow through on tasks independently.
• Meticulous, with a high level of accuracy and attention to detail.
• Strong interpersonal skills, with the confidence to engage and liaise effectively with students, faculty members, senior management, external partners, and vendors.
• Proficient in Microsoft Office applications, particularly Excel (e.g. formulas such as SUM, AVERAGE, COUNTIF, VLOOKUP/XLOOKUP and basic data analysis) and PowerPoint.
• Comfortable learning and working with new digital platforms and administrative systems.
• A positive team player who is proactive, resourceful, and willing to take ownership of assigned responsibilities.
• Prior experience in event management, project coordination, higher education administration, or stakeholder engagement will be an advantage.
• Willing to work occasional evenings or weekends to support major events when required.

Salary: $*************/Month
Working Hours: Mon to Thurs 8:30 AM to 5:45 PM, Fri 8:30 AM to5:15 PM
