Job Summary

The Executive Assistant will provide administrative support to the Director and Managing Director, ensuring that daily documentation, quotations, records, and general administrative matters are handled accurately and efficiently.

Key Responsibilities

• Provide day-to-day administrative support to the Director and Managing Director.

• Assist with data entry, updating client information, project details, and other relevant documentation.

• Prepare, amend, and issue quotations based on information provided by the Director and Managing Director.

• Ensure quotations are accurate, properly formatted, and recorded for tracking purposes.

• Maintain proper filing and organisation of quotations, documents, and correspondence.

• Assist in preparing reports, spreadsheets, documents, and other administrative materials when required.

• Follow up internally on information required for quotation preparation and documentation.

• Assist the Director and Managing Director with scheduling, documentation, correspondence, and other administrative requests.

• Coordinate with internal departments to ensure information and documents are submitted accurately and on time.

• Assist with other ad-hoc administrative and operational duties assigned by the Director or Managing Director.

Requirements

• Good organisational and administrative skills.

• Proficient in Microsoft Office, particularly Excel and Word.

• Able to perform data entry accurately with good attention to detail.

• Good written and verbal communication skills.

• Able to multitask and manage priorities effectively.

• Responsible, organised, and able to handle confidential information professionally.

• Able to work independently and follow instructions accurately.
