Human Resources

  • Manage day-to-day HR operations, including employee records, onboarding, offboarding, transfers and confirmations.
  • Prepare employment contracts, offer letters, confirmation letters, resignation acknowledgements, memos and other HR-related correspondence.
  • Manage employee attendance, leave, claims, benefits and other HR matters.
  • Maintain accurate and up-to-date employee records and HR databases.
  • Administer monthly payroll and ensure timely submission and payment of statutory contributions, including EPF, SOCSO, EIS and PCB.
  • Handle employee enquiries and provide guidance on HR policies, procedures and employment-related matters.
  • Monitor employment contracts, probation periods, renewals and expiry dates.
  • Coordinate work permits, employment passes, visas and other immigration-related matters for expatriate employees.
  • Assist in the development, implementation and improvement of HR policies, procedures and processes.
  • Ensure HR practices comply with applicable Malaysian employment laws and statutory requirements.
  • Support employee engagement, disciplinary matters, performance management and other employee relations activities.

Recruitment

  • Manage the end-to-end recruitment process, from sourcing and screening candidates to interview coordination and offer preparation.
  • Post job vacancies through relevant recruitment platforms and social media channels.
  • Conduct initial candidate screening and coordinate interviews with hiring managers.
  • Liaise with candidates and hiring managers throughout the recruitment process.
  • Prepare employment offers and coordinate pre-employment documentation and onboarding.

Operations & Administration

  • Oversee day-to-day office administration and operational activities.
  • Coordinate office facilities, supplies, maintenance, licences and other administrative requirements.
  • Maintain proper filing systems and ensure company records and documents are organised and accessible.
  • Coordinate employee travel arrangements, accommodation, transportation and other logistics when required.
  • Assist with business registrations, licences, renewals and other operational documentation.
  • Liaise with vendors, service providers, government agencies and other external parties.
  • Prepare administrative reports, letters, memos and documentation as required.
  • Support management in implementing operational processes and improving workflow efficiency.

Finance & Payroll Support

  • Assist with payroll-related accounting and reconciliation activities.
  • Maintain records of payroll, invoices, employee claims and other HR-related financial transactions.
  • Assist in preparing supporting documents for audits and statutory submissions.
  • Coordinate with the Finance team on employee-related payments and outstanding statutory matters.

Management Support

  • Prepare HR and operational reports for management review.
  • Assist management with HR planning, manpower requirements and operational matters.
  • Participate in meetings and prepare minutes or follow-up actions when required.
  • Handle confidential employee and company information with appropriate discretion.
  • Undertake other HR, administrative and operational duties assigned by management.

Requirements

  • Diploma or Bachelor's Degree in Human Resources, Business Administration, Management or a related field.
  • 3–5 years of experience in HR, administration or operations, preferably in a fast-paced environment.
  • Good knowledge of Malaysian employment practices and statutory requirements.
  • Experience in payroll processing and HR systems is an advantage.
  • Experience handling expatriate employment passes, work permits or immigration matters is an advantage.
  • Strong organisational and time-management skills.
  • Good communication and interpersonal skills.
  • Able to work independently with minimal supervision and manage multiple priorities.
  • Strong attention to detail and ability to maintain confidentiality.
  • Proficient in Microsoft Office, particularly Word and Excel.
  • Positive, proactive and hands-on approach to work.
  • Willing to take on both HR and operational responsibilities as required.
