Job Summary
The Senior Project Executive supports the Project Manager in the coordination and execution of retail store fit-out, renovation and refurbishment projects. This role is responsible for coordinating project activities, monitoring project progress, and following up with internal teams, landlords, consultants and contractors, to ensure projects are delivered according to timelines, quality standards and company requirements. The successful candidate will play a key supporting role in the Project Management team by assisting the Project Manager in day-to-day execution of projects while ensuring effective coordination and communication among all stakeholders throughout the project lifecycle.
Key Responsibilities
1. Project Coordination
- Support the Project Manager in delivering new store openings, renovations, relocations and refurbishment projects
- Coordinate project activities from design development through project completion and handover
- Track project schedules and follow up on outstanding action items with relevant stakeholders
- Update project progress reports on a regular basis
- Highlight potential risks or issues and escalate them to the Project Manager
- Coordinate defect rectification works prior to store handover and support store opening preparations
2. Design Submission and Coordination
- Work closely with the Store Design Team to coordinate drawing preparation and revisions
- Prepare, submit and follow up on the supporting documents and drawings for landlord approval, ensuring timely submissions
- Track and monitor approval status, following up with landlords and relevant stakeholders as required
- Maintain accurate records of submissions, approvals and project correspondence
3. Contractor and Vendor Coordination
- Liaise with contractors, suppliers and consultants throughout the project lifecycle
- Follow up on material deliveries and installation schedules
- Ensure works are carried out in accordance with approved drawings and specifications
4. Store Maintenance Coordination
- Coordinate maintenance and repair work for existing stores with contractors and vendors
- Attend to maintenance requests from the Operations Team and follow up on rectification works
- Keep proper records of maintenance requests and supporting documentation
5. Documentation and Administration
- Maintain project documentation and filing
- Prepare meeting minutes and follow-up action lists
- Liaise with local authorities for permits and approvals where required
- Coordinate project-related purchase requisitions, quotations and supporting documentation
- Assist in invoice verification and general project administration
Requirements
- Diploma or Bachelor's Degree in Interior Design, Project Management, Construction Management or a related discipline
- Minimum 3–5 years of experience in retail fit-out, interior renovation or construction project coordination
- Experience in retail store development and fit-out projects within shopping malls
- Familiar with authority submission procedures and requirements
- Good understanding of retail fit-out and construction processes
- Able to interpret construction and shop drawings
- Strong coordination and follow-up skills with good attention to detail
- Good interpersonal, communication and time management skills
- Proficient in Microsoft Office (especially Excel, PowerPoint)
- Willing to travel within Malaysia and Singapore when required
- Good command of spoken and written English
