Department: Shared Service Centre (SSC) / Sea Freight Operations
Position Summary
We are seeking a detail-oriented and proactive Operations Executive – Sea Freight Import to support end-to-end sea freight import operations within a Shared Service Centre (SSC) environment.
The successful candidate will be responsible for coordinating and processing sea freight import shipments, ensuring accurate documentation, timely system updates, effective communication with overseas offices and internal stakeholders, and compliance with established operational procedures and service-level agreements.
This role requires strong knowledge of sea freight import processes, shipping documentation, freight forwarding operations, and customer service.
Key Responsibilities
1. Sea Freight Import Operations
- Manage and coordinate day-to-day sea freight import shipments in accordance with established SOPs and service requirements.
- Handle end-to-end shipment processing from receipt of pre-alerts through shipment arrival, documentation processing, delivery coordination, and shipment closure.
- Monitor shipment status and ensure timely follow-up on outstanding actions and operational requirements.
- Coordinate with overseas offices, shipping lines, agents, customers, and internal stakeholders to ensure smooth shipment execution.
- Proactively identify and resolve shipment delays, documentation discrepancies, and operational issues.
2. Documentation & System Management
- Review and process shipping documents, including:
- Bill of Lading (B/L)
- Arrival Notices
- Delivery Orders
- Commercial Invoices
- Packing Lists
- Manifest and other relevant import documentation
- Ensure all shipment information and documentation are accurately updated in the operational system.
- Verify shipment details, charges, customer requirements, and relevant instructions before processing.
- Maintain accurate and complete shipment records in accordance with internal procedures and compliance requirements.
3. Shared Services & Stakeholder Coordination
- Support regional or global sea freight import operations within the SSC environment.
- Coordinate closely with overseas offices and internal operational teams to ensure timely processing and issue resolution.
- Communicate shipment updates, operational requirements, and exceptions to relevant stakeholders.
- Act as a point of contact for operational enquiries and provide timely responses.
- Escalate complex or unresolved operational issues to the Team Leader or Supervisor when necessary.
4. Operational Performance & Service Delivery
- Ensure assigned shipments are processed within agreed Service Level Agreements (SLA) and Key Performance Indicators (KPI).
- Monitor shipment backlogs and outstanding activities to ensure timely completion.
- Maintain high levels of accuracy, productivity, and service quality.
- Support the team during peak shipment periods and manage assigned workload effectively.
- Participate in regular operational reviews and performance discussions.
5. Process Improvement & Compliance
- Identify recurring operational issues and recommend process improvements.
- Support continuous improvement initiatives to enhance productivity, service quality, and operational efficiency.
- Ensure compliance with company policies, standard operating procedures, and applicable shipping regulations.
- Contribute to process documentation and knowledge-sharing activities within the team.
Qualifications & Experience
- Diploma or Bachelor's Degree in Logistics, Supply Chain Management, International Business, Maritime Studies, or a related discipline.
- Minimum 2–4 years of experience in Sea Freight Import operations, freight forwarding, or logistics.
- Experience working in a Shared Service Centre (SSC), multinational, or regional operations environment will be an advantage.
- Good understanding of end-to-end Sea Freight Import processes.
- Experience handling shipping documentation and shipment coordination.
- Familiarity with Incoterms and international shipping practices is preferred.
Technical Skills
- Knowledge of Sea Freight Import operations and freight forwarding processes.
- Familiarity with Bills of Lading, Arrival Notices, Delivery Orders, Commercial Invoices, and Packing Lists.
- Experience using freight forwarding or logistics operating systems.
- Proficient in Microsoft Office, particularly Excel and Outlook.
- Good data entry, documentation, and system management skills.
Pay: RM3,500.00 - RM4,500.00 per month
