- EDMS Administration: Manages and operates the Electronic Document Management System (ThinkProject EDMS) for site-wide storage, revision control, transmission, and backup of all internal and subcontractor submittals.
- Master Document List (MDL) & DCR Management: Establishes and continuously updates the Master Document List (MDL) and Document Control Register (DCR) in MS Excel and EDMS to track submission statuses, submission schedules, and assigned return codes.
- Correspondence & Transmittal Control: Processes, logs, and distributes all formal site correspondence, Minutes of Meetings (MOMs), Requests for Information (RFIs), Technical Queries (TQs), Non-Conformity Reports (NCRs), and Material Inspection Reports.
- Document Quality & Format Surveillance: Conducts strict QA/QC checks on submittals to ensure adherence to company templates, document coding procedures, file size caps (under 10MB per file), native file preservation, and Optical Character Recognition (OCR) PDF standards.
- Comment Tracking & Expediting: Maintains a systematic register for tracking, routing, and closing out formal review comments from the EPCC (CEEC JSPDI) and Owner (Masdar) to avoid project delays.
- Archiving & Server Maintenance: Manages physical hardcopy archives of original correspondence and ensures native files on the site Local Area Network (LAN) server are synchronized regularly with the main PC&DMS database.
Candidate Requirements & Qualifications
- Education: Diploma or Bachelor’s Degree in Business Administration, Information Management, Engineering, or equivalent.
- Professional Experience: Minimum three (3) years of document control experience, preferably on utility-scale power, floating solar, or major EPC infrastructure projects.
- Software Proficiency: Proven proficiency in Electronic Document Management Systems (EDMS)—specifically ThinkProject—and expert skills in MS Excel for managing comprehensive DCR/MDL registers.
- Technical Competency: Familiarity with document coding structures, revision control protocols, OCR conversion tools, and local network server synchronization.
- Language Skills: Mandatory fluency in spoken and written English to manage formal project transmittals, technical logs, and international stakeholder communications.
Pay: RM3,000.00 - RM5,000.00 per month
