Job Title: Assistant Manager, Human Resources
Reports to: Human Resources Manager, APAC

JOB PURPOSE
The Assistant Manager, HR supports and manages day-to-day HR operations for Head Office and branch employees. The role ensures effective HR service delivery, accurate employee records, compliance with company policies and Malaysian employment requirements, employee engagement, and timely resolution of HR matters.
KEY RESPONSIBILITIES
1. Recruitment & Talent Acquisition
- Manage end-to-end recruitment for Head Office and branch vacancies.
- Prepare JDs and job advertisements, source and shortlist candidates, conduct initial HR screening and coordinate interviews.
- Manage reference/background checks, offer letters, joining documentation and pre-employment requirements.
- Maintain recruitment trackers and provide recruitment updates to management.
2. Employee Lifecycle & HR Administration
- Coordinate onboarding, induction, probation/confirmation and offboarding processes.
- Maintain employee records and HR documentation, including employment, transfer, promotion, salary revision and resignation letters.
- Process employee movements and ensure proper clearance and exit procedures.
- Maintain accurate and confidential personnel records.
3. HRIS, Attendance, Leave & Payroll
- Maintain accurate employee information in HRIS/HRDesk, including employee status, reporting lines, branch/location and designation.
- Monitor attendance, leave, rosters and overtime, and resolve discrepancies with managers and employees.
- Support monthly payroll by verifying attendance, overtime, allowances, deductions, incentives and salary changes.
- Coordinate with Finance/Payroll and HRIS vendors on payroll or system-related issues.
- Prepare HR and payroll-related reports for management and audit purposes.
4. Employee Relations & Performance Management
- Act as a key HR contact for employees and managers on HR policies, benefits and employment matters.
- Handle employee grievances and workplace concerns professionally and confidentially.
- Support investigations, disciplinary and misconduct cases, including preparation of relevant HR documentation.
- Coordinate probation reviews, performance appraisals and Performance Improvement Plans (PIPs).
- Escalate sensitive or complex matters to the HR Manager/Head of HR.
5. Learning, Development & Employee Engagement
- Coordinate internal and external training programmes, including training providers, registrations, attendance and evaluations.
- Maintain training records and support HRD Corp-related processes where applicable.
- Assist with identifying training needs and mandatory learning requirements.
- Support employee engagement, welfare, recognition, staff events and HR communications.
6. HR Policies, Compliance & Statutory Matters
- Support implementation and review of HR policies, procedures and guidelines.
- Ensure HR practices comply with applicable Malaysian employment legislation and statutory requirements.
- Support EPF, SOCSO, EIS, PCB/MTD, HRD Corp and other statutory matters.
- Maintain documentation and support internal/external audits, inspections and government submissions.
- Ensure employee information is handled confidentially and in accordance with applicable data protection requirements.
7. Branch HR Support & Reporting
- Provide HR support to Lulu Money branches across Malaysia, including recruitment, onboarding, employee movements, attendance, leave, rosters and employee relations.
- Work closely with Branch Managers, Branch Supervisors and reporting managers to address HR matters.
- Conduct or support branch HR visits when required and ensure consistent application of HR policies.
- Prepare HR reports and management updates covering headcount, recruitment, turnover, absenteeism, leave, overtime, training and other HR metrics.
- Support HR dashboards, presentations, projects and process improvements.
8. General HR Support
- Manage HR correspondence, employee communications, meetings and documentation.
- Support the HR Manager and Head of HR in daily HR operations and HR projects.
- Perform other HR-related duties assigned by management.
Education
- Diploma or Bachelor’s Degree in Human Resources, Business Administration, Management, Psychology or related field.
- Professional HR certification is an advantage.
Experience
- Minimum 5–6 years of relevant HR experience.
- Strong experience in HR operations, recruitment, employee relations, payroll and HR administration.
- Experience supporting multiple locations/branches is an advantage.
- Experience in financial services, remittance, banking, retail or other regulated industries is an advantage.
Technical Skills
- Good knowledge of HR operations and Malaysian employment practices.
- Familiarity with Malaysian employment legislation and statutory requirements.
- Proficient in Microsoft Office, particularly Excel, Word and PowerPoint.
- Experience with HRIS/HRDesk or similar systems.
- Good data management, reporting and documentation skills.
