JOB PURPOSE

To assist the Manager / Head of the CPD in the administrations, coordination and continuous improvement of APEL.A and APEL.C activities, while providing general administrative, stakeholder and reporting support.

KEY RESPONSIBILITIES

1. APEL.A and APEL.C Administration

  • Coordinate and administer APEL.A and APEL.C applications and related processes.
  • Check applications and supporting documents for completeness.
  • Monitor application progress and collow up on outstanding matters.
  • Coordinate with applications, assessors, academic Schools and relevant departments.
  • Maintain accurate records, assessment outcomes and administrative requirement to applicants.

2. Administrative and Executive Support

  • Assist the Manager / Head in managing the daily operations of the APEL Centre.
  • Prepare reports, correspondence, presentations, meeting documents and other administrative materials.
  • Assist in organising meetings, workshops, briefings, and APEL-related activities.
  • Monitor timelines, action items and departmental deliverables.
  • Maintain proper filing, documentation and records.

3. Quality Assurance and Compliance

  • Assist in ensuring APEL.A and APEL.C processes comply with University Procedures and applicable MQA requirements.
  • Maintain supporting documents for audit, review and quality assurance purposes.
  • Assist in reviewing forms, procedures and records for accuracy and consistency.
  • Support continuous improvement of APEL processes.

4. Stakeholder Coordination

  • Liaise with applications, academic Schools, Programme Coordinators, assessors and relevant University department.
  • Respond to enquiries and provide appropriate administrative guidance.
  • Facilitate effective communication and follow-up between stakeholders.
  • Escalate academic, policy or regulatory matters to the Manager / Head where necessary.

5. Data, Reporting and Process Improvement

  • Maintain and update APEL-related databases and records.
  • Compile statistics and prepare reports for management.
  • Assist in analysing operational data and identifying areas for improvement.
  • Use digital tools and Generative AI, where appropriate, to improve administrative efficiency, documentation and reporting.

6. Additional University Duty - OpenLearning Content Development

  • Assist in the development of OpenLearning content for courses offered by the University.
  • Convert academic materials into suitable online learning content.
  • Assist in preparing interactive activities, quizzes, discussion questions, visual materials and other digital learning resources.
  • Upload, organise and update content on the OpenLearning platform.
  • Work with academic staff to ensure content is clear, accurate, engaging and suitable for online learners.

7. Other Duties

  • Support special projects and University initiatives as assigned.
  • Perform other relevant duties as directed by the Manager / Head or University management.

REQUIRED COMPETENCIES

The candidate should demonstrate:

  • Good administrative and organisational skills;
  • Strong written and verbal communication;
  • Attention to detail;
  • Ability to manage multiple tasks;
  • Stakeholder coordination skills;
  • Proficiency in Microsoft Office and digital productivity tools;
  • Ability to use Generative AI responsibly;
  • Willingness to learn and work with OpenLearning or similar online learning platforms; and
  • Ability to work independently and as part of a team.

QUALIFICATION

  • A recognised Bachelor's Degree in a relevant field.
  • Experience in higher education administration, academic support, quality assurance or online learning would be an advantage.

POSITION SUMMARY

The Executive, APEL Centre supports the effective implementation of APEL.A and APEL.C through administration, stakeholder coordination, quality assurance and reporting.

  • In addition, the Executive will support the University in the development of OpenLearning content for academic courses, as an additional responsibility outside the core functions of the APEL Centre.

Pay: RM2,500.00 - RM4,000.00 per month
