1. Office Administration
- Manage the day-to-day upkeep ofthe office, including property and facility liaison, maintenance of the officeenvironment, meeting room bookings and meeting arrangements
- Procurement of office supplies,inventory counts, fixed asset registration and supplier management
- Handling of mail and courier,visitor reception, call forwarding, name card printing and travel arrangements
- Document filing and recordsmanagement, ensuring that all documents are complete and traceable
- Processing of basic expenseclaims and invoices, and assistance in compiling monthly administrative expenserecords
- Basic HR administration: employee onboarding and offboarding procedures, maintenance of staff recordsand contact lists, leave and attendance records
- Company-secretarial-typematters: liaising with Singapore government portals to complete annual filings,information updates and compliance submissions
2. Client-Related Administrative Support
- Provide preliminaryadministrative assistance to clients with Singapore residency planning orimmigration needs
- Liaise with third-partyprofessionals engaged by the client, including company secretaries,accountants, lawyers and immigration advisers
- Follow up on data collection,form completion and progress updates (professional compliance advice remainsthe responsibility of the client's third-party advisers)
3. Other Duties
- Coordinate with the HR, Compliance and Finance departmentsof the Hong Kong head office on local matters
- Ad hoc tasks
4.Requirements
4.1 Education and Eligibility
- Diploma or above
- Singapore Permanent Resident(PR) status, or a visa permitting legal employment in Singapore (required)
4.2 Work Experience
- 1–3 years of relevantexperience in office administration, operations support or client servicing;fresh graduates with outstanding potential will also be considered
- Experience in financialservices, asset management, family office or private banking is preferred
4.3 Language Proficiency
- Good written and spokenEnglish, with the ability to handle English documents independently and tocommunicate externally with banks
- Fluent Mandarin, with theability to communicate smoothly with the Hong Kong head office team andMandarin-speaking clients
4.4 Professional Skills
- An AI mindset, with proficiencyin Microsoft Office
- Strong skills in documenthandling, process follow-up and multi-party coordination
4.5 Personal Attributes
- Detail-oriented andresponsible, proactive, able to work independently within a small team andhandle multiple tasks at the same time
- Strong willingness to learn,prepared to start from administrative work and to progressively gain exposureto and master business operations
- Good communication skills,professional integrity and a strong sense of confidentiality
5.Preferred Qualifications
- A valid Singapore drivinglicence with driving experience, financeor accounting background, experience in company secretarial matters, experiencein supporting private banking/EAM or external asset management business, or experiencein assisting clients with residency planning and immigration-relatedadministrative matters
