BitLoop Technologies Pte Ltd is the operating company of a privately held Singapore group with interests across IT services, diamonds trading, and property.
We are looking for an experienced generalist Admin & Accounts Executive to help manage the administration and accounts of all group entities. Ideal candidate is technology-first and is comfortable creating and working with AI-tools & workflows.
Responsibilities
- Maintain company filing and records across all group entities, physical and digital (SharePoint)
- Perform day-to-day bookkeeping in Xero, including data entry, bank reconciliation, GST filing preparation, and support external accountant with month-end and year-end closing
- Prepare quotations, invoices, and submit payments
- Prepare freight, import and export documentation and liaise with freight forwarders
- Assist with property & leasing related administration
- Provide general office administration and support to management as required
- Provide management with family household administration support as required
- Help improve and document internal processes and workflows, including the use of AI and automation tools
Requirements
- Comfortable in a small SME environment with a broad and varied scope across multiple group entities
- At least 3 years of relevant experience in an administrative and/or accounts role (reference contact required)
- Sound understanding of basic accounting concepts and bookkeeping practice
- Working knowledge of Xero, or of a comparable accounting system with the willingness to learn Xero
- Strong Microsoft Office & Google Workspace skills, particularly Excel; familiarity with SharePoint is an advantage
- Technologically able - comfortable adopting new software independently, including AI tools beyond basic chat interfaces, such as building workflows in Claude/ChatGPT Co-Work or similar platforms
- Self-directed, organised and accountable, able to manage your own workload and see tasks through to completion
- Able to work in Singapore without the need for employer sponsorship
