The Project Admin is responsible for providing administrative and coordination support to the project team to ensure smooth and efficient day-to-day project operations. The role manages project documentation, correspondence, meeting arrangements, progress records, submissions, and general site administration. The Project Admin works closely with the Project Manager, site team, consultants, contractors, subcontractors, suppliers, and internal departments to ensure project information and administrative matters are properly coordinated and maintained.
Main Scope of Works
1. Project Documentation & Filing
· Maintain and organize project documents, correspondence, reports, records, and other project-related files.
· Manage both hardcopy and electronic filing systems in accordance with project requirements.
· Prepare, format, distribute, and maintain project letters, memos, reports, forms, and other documentation.
· Maintain proper records of incoming and outgoing correspondence.
· Ensure the latest versions of project documents are properly recorded and accessible to relevant parties.
· Assist with document control and tracking of project submissions and approvals.
2. Project Coordination & Meeting Support
· Provide administrative and coordination support to the Project Manager and project team.
· Arrange project meetings, site meetings, coordination meetings, and other project-related discussions.
· Prepare meeting agendas, attendance records, minutes of meetings, and action item lists.
· Follow up with relevant parties on outstanding actions and deadlines.
· Coordinate communication between the project team, consultants, contractors, subcontractors, suppliers, and other stakeholders.
· Assist in coordinating site visits, inspections, and project activities.
3. Progress Monitoring & Reporting
· Collect and compile project progress information from the site team for reporting purposes.
· Assist in preparing daily, weekly, and monthly project progress reports.
· Maintain records of project milestones, work progress, manpower, materials, equipment, and site activities.
· Track outstanding submissions, approvals, inspections, instructions, and deliverables.
· Highlight pending matters and overdue actions to the Project Manager.
· Assist in maintaining project schedules and progress tracking records.
4. Submission & Stakeholder Coordination
· Assist in coordinating project submissions, approvals, drawings, RFIs, material submissions, and other technical documentation.
· Maintain records of submissions, approvals, comments, and responses from consultants and relevant stakeholders.
· Coordinate with contractors and consultants to ensure required documents are submitted within the stipulated timeline.
· Assist in coordinating documentation required by clients, government authorities, and statutory bodies.
· Follow up on pending approvals and responses to avoid delays to project activities.
5. Site Administration & Project Support
· Provide general administrative support for day-to-day site operations.
· Maintain records of site personnel, attendance, visitors, site access, and other relevant administrative information.
· Coordinate site office requirements, stationery, meeting facilities, and general administrative matters.
· Assist in preparing documentation for inspections, audits, project handover, and close-out activities.
· Support the Project Manager and site team in ad-hoc administrative and coordination matters.
· Ensure confidentiality and proper handling of company and project information.
Job Requirements
1. Educations
· Diploma or Bachelor's Degree in Business Administration, Construction Management, Project Management, or a related discipline.
· Candidates with relevant construction site administration experience may also be considered.
2. Experiences
· Minimum 1–3 years of relevant experience in project administration, site administration, construction administration, or a similar role.
· Fresh graduates with relevant qualifications and strong administrative skills may be considered.
· Experience in a construction site environment is preferred.
· Familiarity with construction project documentation, correspondence, and site procedures is an advantage.
3. Soft skills
· Strong organizational and administrative skills.
· Good attention to detail and accuracy.
· Good time management and ability to meet deadlines.
· Strong follow-up and coordination skills.
· Able to manage multiple tasks and priorities.
· Proficient in Microsoft Office, particularly Microsoft Word and Excel.
· Willing to learn and adapt to project requirements.
4. Inter-personal skills
· Good communication and interpersonal skills.
· Able to coordinate effectively with Project Managers, site teams, consultants, contractors, and suppliers.
· Professional and courteous when dealing with internal and external stakeholders.
· Good teamwork and follow-up skills.
· Responsible, proactive, and able to work independently when required.
5. Certifications
· CIDB Green Card is an added advantage for site-based positions.
· Certification in Business Administration, Construction Management, or Project Administration is an advantage.
· Training in document control or project management software is an added advantage.
Pay: RM2,000.00 - RM3,500.00 per month
