Key Responsibilities
- Calendar & Schedule Management: Manage and optimize the executive’s complex, fast-changing calendar. Schedule internal and external meetings, conferences, and appointments across multiple time zones.
- Travel Coordination: Arrange comprehensive international and domestic travel itineraries, including flights, accommodation, visas, and ground transportation. Prepare detailed travel expense reports.
- Communication & Gatekeeping: Serve as a professional gatekeeper. Screen and prioritize incoming calls, emails, and correspondence. Draft high-quality emails, memos, and reports on behalf of the executive.
- Meeting Support: Prepare agendas, briefing materials, and presentations for leadership and board meetings. Attend meetings to take accurate minutes and track follow-up action items.
- Project Coordination: Assist with special projects and cross-departmental initiatives. Conduct basic market research or data gathering as requested.
- Confidentiality & Compliance: Handle highly sensitive, confidential, and proprietary business information with the utmost discretion and integrity.
Requirements & Qualifications
- Experience: Minimum of 3–5 years of experience as an Executive Assistant, Personal Assistant, or Senior Secretary supporting C-level executives (ideally within an MNC or fast-paced corporate environment).
- Education: Bachelor’s Degree or Diploma in Business Administration, Communications, or a related field.
- Communication Skills: Fluency in written and spoken English is mandatory. Proficiency in a second language (e.g., Mandarin) is a strong advantage for regional communication.
- Technical Skills: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and tech-savvy with calendar/project management tools (e.g., Teams, Zoom, Slack, Asana).
- Soft Skills:
- Exceptional organizational skills with a proven ability to multi-task and prioritize under pressure.
- High emotional intelligence (EQ), adaptability, and a proactive problem-solving mindset ("can-do" attitude).
- Strong interpersonal skills to interact with stakeholders at all levels, from clients to board members.

Pay: $5,660.76 - $6,935.60 per month
