岗位职责

We are looking for a responsible, organised, and detail-oriented Admin & Accounts Executive to manage the company's day-to-day administrative and accounting operations. The successful candidate will support daily office activities, maintain accurate financial records, handle documentation, and ensure smooth coordination between the office, management, and other departments.

Key Responsibilities

1. Accounting & Finance

  • Handle daily accounting and finance-related administrative tasks.
  • Prepare and maintain invoices, receipts, payment vouchers, and other accounting documents.
  • Record and update daily financial transactions accurately.
  • Handle accounts payable and accounts receivable functions.
  • Prepare payment schedules and monitor outstanding payments.
  • Perform bank reconciliation and assist with monthly account closing.
  • Monitor and maintain proper records of company expenses.
  • Verify invoices, receipts, claims, and supporting documents before processing.
  • Assist in preparing monthly financial reports and management reports.
  • Liaise with suppliers, customers, and relevant parties regarding payment and accounting matters.
  • Maintain proper filing and documentation of accounting records.
  • Assist auditors, tax agents, company secretary, and other external parties when required.
  • Ensure accounting records and supporting documents are properly maintained for audit and compliance purposes.

2. Administrative Responsibilities

  • Manage daily office administrative activities and documentation.
  • Prepare letters, memos, reports, forms, and other official documents.
  • Maintain proper filing systems for company and employee-related documents.
  • Handle incoming and outgoing correspondence, emails, and documents.
  • Manage office supplies and monitor inventory levels.
  • Coordinate purchases of office supplies and liaise with suppliers.
  • Assist in maintaining company records, licences, agreements, and other important documents.
  • Coordinate meetings, appointments, and administrative arrangements when required.
  • Support management and other departments with administrative matters.
  • Assist with data entry, document preparation, scanning, printing, and record updates.
  • Ensure all administrative records are accurate, organised, and up to date.

3. HR & Staff Administration Support

  • Assist HR with staff documentation and administrative matters when required.
  • Maintain and update employee records and relevant documentation.
  • Assist with attendance, leave, claims, and other staff-related administrative records.
  • Prepare documents and letters as instructed by HR or Management.
  • Support onboarding and offboarding administrative processes.
  • Maintain confidentiality of employee and company information.

4. General Responsibilities

  • Ensure all assigned tasks are completed accurately and within the required timeframe.
  • Maintain confidentiality of company financial, employee, and business information.
  • Follow company policies, procedures, and internal controls.
  • Coordinate with other departments to ensure smooth daily operations.
  • Perform any other duties and responsibilities assigned by Management from time to time.

Requirements

  • Diploma or Bachelor's Degree in Accounting, Finance, Business Administration, or a related field.
  • Minimum 2 years of relevant working experience in accounting and/or administration.
  • Good understanding of basic accounting principles and bookkeeping.
  • Experience handling accounts payable, accounts receivable, invoices, payments, and reconciliations.
  • Proficient in Microsoft Excel and Microsoft Office.
  • Experience with accounting software is an added advantage.
  • Good numerical and analytical skills.
  • Strong attention to detail and accuracy.
  • Good organisational and time-management skills.
  • Able to work independently with minimum supervision.
  • Able to manage multiple tasks and meet deadlines.
  • Good written and verbal communication skills.
  • Responsible, trustworthy, proactive, and willing to learn.
  • Able to maintain confidentiality when handling sensitive company and employee information.

Preferred Skills

Candidates with experience in the following areas will have an added advantage:

  • SQL Accounting / accounting software
  • Microsoft Excel
  • Payroll or staff claims administration
  • Bank reconciliation
  • Accounts payable and receivable
  • Inventory or stock-related documentation
  • Retail or jewellery industry experience
  • General office administration

Pay: RM3,000.00 - RM3,500.00 per month

Work Location: In person
