We are seeking a personal assistant to provide executive support to senior management and coordinate expatriate administration matters.
This role is ideal for someone with strong secretarial or executive assistant experience who enjoys working in a dynamic international environment. The successful candidate will work closely with senior executives, internal stakeholders, and external service providers to ensure smooth day-to-day operations and support for our senior management team.
As the role supports senior management, responsibilities may evolve over time based on business needs.
Key Responsibilities
Provide administrative and secretarial support to Executive Officers and senior management.
Manage calendars, appointments, meeting arrangements, travel coordination, and business-related logistics.
Coordinate with internal and external stakeholders on executive support matters.
Liaise with company-appointed service providers and external organisations as required.
Support expatriate administration, including immigration passes, housing arrangements, tenancy matters, and relocation coordination.
Coordinate expatriate income tax filings and related billing matters with external vendors.
Assist in managing company driver scheduling and transportation arrangements.
Provide comprehensive administrative support to the Executive team, including the preparation and submission of various internal applications, approval requests, expense claims, compliance-related declarations, travel arrangements, hospitality coordination, and customer engagement activities. The role requires managing a wide range of day-to-day requests and ad hoc matters to support executives effectively in their business activities.
Maintain accurate records and handle confidential information with professionalism and discretion.
Requirements
Diploma or Bachelor's degree in Business Administration, Human Resources, or a related discipline.
At least 5 years of relevant experience in executive support, secretarial, personal assistant, or expatriate administration roles.
Experience supporting senior management or executives is preferred.
Familiarity with Singapore immigration processes, expatriate administration, relocation, or mobility matters would be advantageous.
Strong organisational skills and ability to manage multiple priorities simultaneously.
Excellent communication and interpersonal skills.
High level of professionalism, discretion, and attention to detail.
Proficient in Microsoft Office applications.
Ability to adapt to changing priorities and take initiative independently.
In order to coordinate with our Japanese customers and business counterparts, proficiency in both English and Japanese would be an advantage.
