Landscape Industry Association (Singapore) is seeking an organised, proactive Executive Coordinator to manage and drive the association's educational programs and events operations. In this role, you will manage day-to-day operations in our Association—working closely with the Executive Council and Committees to develop and deliver impactful workshops, educational courses, and industry programs.
The ideal candidate excels at balancing cross-functional communication, managing timelines with committee members, and delivering reliable, efficient administrative and logistical execution.
Key Responsibilities
1. End-to-End Training & events management/coordination
- Facilitate the complete project lifecycle for training programs/events—from initial course scoping and curriculum scheduling to execution and final closeout.
· Ensure all course dependencies (e.g., accreditation/CEU submissions, trainer onboarding, venue bookings) are completed on time.
- Conduct post-training evaluations, compile feedback analysis, and present findings to the Committee to continuously refine course quality.
- Coordinate events organised by LIAS in conjunction with council and existing secretariat team
2. Committee Liaison & Stakeholder Engagement
- Act as the primary liaison for Committee members, gathering, managing, and prioritising all incoming requests.
- Foster team collaboration and idea-sharing among Committee members
- Coordinate communications and facilitate information flow between the association, government agencies, and industry partners to ensure timely responses to joint initiatives and industry inquiries.
- Build and maintain positive working relationships with trainers, industry regulators, government agencies and venue partners.
· Organise, facilitate, and document Committee meetings, preparing agendas, tracking action items, and circulating meeting minutes.
3. Timeline Tracking, Risk Management & Issue Resolution
- Develop and maintain the full-year training calendar for operational tracking and resource planning
- Proactively identify potential project risks (e.g., low registration numbers, trainer availability shifts) and implement contingency plans.
- Resolve operational issues and participant inquiries professionally and promptly.
4. Project Documentation & SOP Management
- Maintain a centralised, secure archive of course materials, participant databases, attendance records, and certification records.
- Maintain and update Standard Operating Procedures (SOPs) including association documentations.
Requirements & Qualifications
- Education: Diploma or Degree in Business Administration, Education/Training Management, Project Management, or a related field.
- Experience: 2–4 years of experience in project coordination, event management, or administrative operations—preferably within an industry association, non-profit, or professional membership body.
- Key Skills:
- Demonstrated ability to liaise with stakeholders, committee members, and external agencies.
- Strong project planning skills
- Proficiency in MS Office (Word, Excel, PowerPoint)
- Exceptional written and verbal communication skills.
