We are looking for a Project Admin Coordinator to support our Operations and Project team with daily administrative work, customer enquiries and project follow-ups.

Job Responsibilities

• Reply to customer messages and enquiries in a timely and professional manner.
• Handle general administrative duties and maintain proper records.
• Key in and maintain material purchase records.
• Maintain daily manpower records.
• Prepare and issue invoices.
• Follow up with customers on outstanding and progress payments.
• Contact suppliers and arrange material orders based on instructions from the Operations/Project Manager.
• Follow up on client requests and relay the information to the relevant team.
• Keep track of project timelines and remind the Operations/Project Manager of upcoming works, appointments and deadlines.
• Prepare and send project-related documents to clients, consultants, main contractors or relevant authorities when required.
• Maintain proper filing of project documents and records.
• Assist the Operations/Project Manager with day-to-day administrative and coordination matters.
• Perform other general administrative duties as assigned.

Requirements

• Customer service experience preferred.
• Good communication and interpersonal skills.
• Comfortable communicating with customers and suppliers through WhatsApp, phone and email.
• Basic knowledge of Microsoft Word and Excel.
• Organised and able to keep proper records.
• Responsible and able to follow up on assigned tasks.
• Able to follow instructions and work closely with the Operations/Project Manager.
• Positive working attitude and willing to learn.
