Job Description

Human Resources (HR)

  • Manage day-to-day HR operations and maintain accurate and up-to-date employee records. Handle the fullrecruitment process, including job advertisements, candidate screening, interview arrangements, reference checks, and preparation of employment offers.
  • Coordinate employee onboarding and offboarding, including preparation of employment documents, orientation, confirmation, resignation, and exit clearance.
  • Prepare HR-related documents such as offer letters, employment contracts, confirmation letters, warning letters, memos, and other employee correspondence.
  • Maintain employee personal files, employment records, leave records, attendance records, and other HR documentation in an organised and confidential manner.
  • Monitor employee attendance, leave, medical leave, lateness, and other attendance-related matters. Assist in managing employee relations, disciplinary matters, grievances, and other HR-related issues in accordance with company policies and applicable labour laws.
  • Coordinate employee performance reviews, probation assessments, and confirmation processes. Assist in organising employee engagement activities, training programmes, company events, and other HR initiatives.
  • Ensure HR policies, procedures, and employee records are properly maintained and implemented. Keep abreast of changes in Malaysian employment legislation and assist in ensuring the company's HR practices remain compliant with applicable requirements

Payroll

  • Prepare and process monthly payroll accurately and within the required timeline.
  • Verify monthly attendance, overtime, allowances, commissions, claims, unpaid leave, deductions, and other payroll-related information.
  • Calculate salaries, overtime payments, allowances, deductions, and final salary payments where applicable.
  • Prepare monthly statutory contributions and submissions, including EPF (KWSP), SOCSO (PERKESO), EIS (SIP), PCB/MTD (LHDN), and other statutory requirements.
  • Ensure statutory contributions and payroll-related payments are submitted accurately and within the required deadlines.
  • Prepare and maintain payroll reports, payslips, payroll summaries, and supporting documentation.
  • Handle employee payroll enquiries and resolve salary, deduction, contribution, and payroll-related discrepancies.
  • Assist with annual payroll-related requirements, including EA Forms and other relevant statutory documentation.
  • Maintain confidentiality and accuracy of all payroll and employee compensation information. Liaise with relevant government agencies and statutory bodies on payroll and employee-related matters when required.

Administration

  • Manage the company's day-to-day office administration and ensure smooth office operations.
  • Maintain proper filing and documentation for HR, administrative, and company-related records.
  • Manage office supplies, stationery, equipment, and other administrative requirements.
  • Coordinate with vendors and service providers for office maintenance, repairs, utilities, telecommunications, and other office services.
  • Monitor and arrange the renewal of company licences, subscriptions, insurance policies, agreements, and other administrative documents where applicable.
  • Handle general correspondence, letters, documentation, courier services, and incoming and outgoing communications.
  • Coordinate travel arrangements, accommodation, meeting arrangements, and other administrative matters when required.
  • Maintain records of company assets, office equipment, access cards, keys, and other company property.
  • Liaise with government departments, external service providers, and other relevant parties on administrative matters.
  • Support management in organising company meetings, events, functions, and other internal activities.
  • Provide general administrative and operational support to management and other departments when required.
  • Perform any other HR, payroll, administrative, or ad-hoc duties assigned by management.

Job Requirements

  • Diploma or Bachelor's Degree in Human Resource Management, Business Administration, Management, or a related field.
  • Preferably 1–3 years of relevant working experience in HR, payroll, and/or administration.
  • Familiar with Malaysian employment practices and statutory requirements, including Employment Act 1955, EPF, SOCSO, EIS, and PCB/MTD.
  • Experience in handling monthly payroll will be an added advantage.
  • Proficient in Microsoft Office, particularly Microsoft Excel and Word.
  • Good written and verbal communication skills in English and Bahasa Malaysia.
  • Strong organisational skills with good attention to detail and accuracy.
  • Able to to handle work confidential independently, employee manage and company information professionally.
  • Able multiple priorities, and meet deadlines.
  • Responsible, proactive, organised, and willing to learn.

Job Type: Full-time

Pay: RM2,500.00 - RM3,500.00 per month
