Job Description
The Procurement & Inventory Admin is responsible for managing purchasing activities, maintaining accurate inventory records, monitoring stock levels, and ensuring the timely procurement of goods while supporting daily administrative operations.
Key Responsibilities
- Source and purchase goods, materials, and supplies according to company requirements.
- Request quotations and compare prices from suppliers.
- Prepare and issue Purchase Orders (POs).
- Follow up with suppliers on order status and delivery schedules.
- Receive and verify goods against Purchase Orders and Delivery Orders.
- Maintain accurate inventory records and stock movement.
- Monitor stock levels and arrange timely replenishment.
- Conduct regular stock counts and assist with stock audits.
- Update procurement and inventory reports.
- Organize and maintain supplier, purchasing, and inventory documentation.
- Coordinate with internal departments to ensure purchasing needs are met.
- Handle invoice matching and submit documents for payment processing.
- Ensure compliance with company procurement policies and procedures.
- Perform other administrative duties assigned by management.
Requirements
- Diploma or Bachelor's Degree in Business Administration, Supply Chain, Logistics, or a related field.
- Fresh graduates are welcome to apply. Experience in procurement, inventory, or administration is an advantage.
- Proficient in Microsoft Excel, Word, and inventory management systems.
- Strong organizational and time management skills.
- Good communication and negotiation skills.
- Detail-oriented with strong analytical and problem-solving abilities.
- Able to work independently and as part of a team.
Preferred Skills
- Experience using ERP or inventory software.
- Knowledge of purchasing procedures and inventory control.
- Ability to analyze stock usage and prepare reports.
- Basic understanding of accounting and documentation processes.
