A. JOB PURPOSE / SUMMARY
The Senior Crewing Executive is responsible for coordinating and managing crew-related activities to ensure personnel are properly planned, scheduled, documented and mobilised according to project requirements.
The role involves crew planning, rotation, travel arrangements, documentation, certification tracking and work permit coordination. The position also works closely with internal departments, crew members and external service providers to support smooth and timely project operations.
B. JOB DESCRIPTION
- Manage daily crew planning, scheduling, assignment and rotation for ongoing projects.
- Ensure crew certifications, medical fitness, training and other required documents are valid and up to date.
- Monitor crew movements and coordinate changes based on project requirements.
- Coordinate timely crew mobilisation and demobilisation.
- Prepare and maintain accurate crew matrices, personnel records and supporting documentation.
- Coordinate with crew members and relevant teams to obtain and verify required documentation.
- Monitor crew compliance with project and regulatory requirements.
- Coordinate travel arrangements including flights, accommodation and ground transportation.
- Monitor and maintain crew movement and travel records.
- Assist with work permit, visa and other personnel-related applications and documentation.
- Liaise with relevant agencies and service providers regarding visa, permit and travel arrangements.
- Identify potential crew shortages or documentation gaps and escalate them to the reporting manager.
- Coordinate communication between office personnel and field teams to ensure smooth information flow.
- Assist the Crewing Manager with workload coordination, team support and operational follow-up.
- Maintain proper records of crew movements, documentation and related activities.
- Perform any other duties as assigned by the Crewing Manager.
Requirements
- Diploma or Bachelor's Degree in Human Resources, Business Administration, Maritime Studies, Logistics or a related field.
- Minimum 4 years of relevant experience in crewing, personnel coordination, logistics or a related role.
- Experience in crew mobilisation, travel coordination, certification tracking and personnel documentation is preferred.
- Good understanding of work permit, visa and personnel documentation processes.
- Good organisational and coordination skills with strong attention to detail.
- Proficient in Microsoft Office, particularly Excel.
- Good communication skills and ability to coordinate with multiple stakeholders.
- Able to work independently, manage multiple priorities and meet tight deadlines.
