Company Description FMM Institute (FMMI), a subsidiary of the Federation of Malaysian Manufacturers, provides industry-relevant skills training for the manufacturing and services sectors to support ongoing human capital development. Established in 1999, the Institute conducts around 1,000 programs and trains approximately 18,000 participants across Malaysia each year. FMMI offers a wide range of functional corporate and customized in-house training programs designed to be cost-effective while maintaining high quality and impactful learning outcomes. In line with its belief in lifelong learning, FMMI provides certificate programs that help working professionals upgrade their qualifications and advance their careers. The head office is located in Wisma FMM, Bandar Sri Damansara, Kuala Lumpur, with fully equipped training facilities, and FMMI operates through ten branches nationwide.


Role Description This full-time Administrative Assistant role is an on-site position based in Johor Baharu. The Administrative Assistant will support daily office operations, including handling correspondence, organizing documents, maintaining records, and assisting with scheduling and meeting arrangements. Responsibilities include managing phone calls, greeting visitors, providing general information, and directing inquiries to the appropriate personnel. The role involves performing clerical tasks such as data entry, filing, copying, and preparing basic reports and materials for training programs and events. The Administrative Assistant will collaborate with team members to ensure smooth branch operations and provide professional, timely support to internal and external stakeholders.


Qualifications

  • Strong Administrative Assistance and Executive Administrative Assistance skills to support office operations, scheduling, and coordination tasks.
  • Proficient Clerical Skills, including data entry, filing, document preparation, and record management.
  • Effective Communication and Phone Etiquette skills for handling calls, inquiries, and interactions with participants, clients, and colleagues.
  • Basic proficiency in office software (e.g., word processing, spreadsheets, email, and calendar tools).
  • Ability to organize work, prioritize tasks, and maintain attention to detail in a fast-paced environment.
  • Demonstrated reliability, professionalism, and a customer-focused mindset.
  • Previous experience in administrative or office support roles is an advantage.
  • Certificate or diploma in business administration or a related field is beneficial but not mandatory.
