Role Summary

The Admin Intern will gain hands-on, practical exposure to corporate administrative operations, office management, document control, and facilities support by assisting the internal administrative team with daily operational workflows, office logistics, record-keeping, and general clerical tasks.

This position offers structured mentorship designed to build practical skills in business administration, office workflow optimization, vendor/facility coordination, and corporate communication.

Key Responsibilities & Learning Opportunities1. Office Administration & General Operations

  • Daily Office Support: Assist the administrative team in handling day-to-day office operations, front desk/reception coverage, incoming calls, visitor registration, and incoming/outgoing mail/courier distribution.
  • Supply & Inventory Management: Learn to monitor, audit, and maintain office inventory levels, including stationery, pantry supplies, and office equipment consumables, under direct supervision.
  • Facilities & Vendor Coordination: Assist in liaising with property management, cleaning services, maintenance technicians, and external vendors to ensure office facilities remain safe, clean, and fully operational.

2. Documentation, Archiving & Data Management

  • Record & Asset Archival: Execute daily administrative tasks, including organizing, scanning, and filing physical and digital records, contracts, and internal compliance documents.
  • Data Entry & Reporting: Help input, audit, and update data across internal databases, spreadsheets, and management reporting templates with high accuracy and attention to detail.
  • Meeting & Communications Support: Assist in drafting simple internal announcements, preparing meeting materials, booking conference rooms, and taking concise meeting minutes when required.

3. Team Support & Special Projects

  • Cross-Departmental Assistance: Provide ad-hoc administrative support to HR, Finance, or Operations teams during peak periods or company events.
  • Special Projects: Assist with office workflow improvement initiatives, digital document migration, or administrative audits as assigned.

Job RequirementsEducation & Eligibility

  • Current Qualification: Currently pursuing a Diploma or Bachelor’s Degree in Business Administration, Office Management, Business Studies, Corporate Communications, Human Resource Management, Secretarial Studies, or any related discipline from an accredited college or university.
  • Internship Period: Available for a minimum internship duration of 3 to 6 months.

Languages

  • English & Bahasa Malaysia: Professional working proficiency (written and spoken) is required for internal coordination, document drafting, and vendor communication. (Mandarin proficiency is an added advantage for coordinating with regional partners or vendors).

Competencies & Soft Skills

  • Administrative Fundamentals: Basic to intermediate proficiency in Microsoft Office (Word, Excel, PowerPoint) or Google Workspace (Docs, Sheets, Slides), with good typing speed and document formatting skills.
  • Organization & Aptitude: Strong organizational habits, sharp attention to detail, high confidentiality, an eagerness to learn corporate administrative standards, and a proactive attitude.
