How You will Make An Impact:

The Administrative Executive provides comprehensive administrative, operational and digital support to the department, supporting leaders in achieving organisational objectives. The successful candidate is proactive, highly organised, digitally savvy and continuously seeks opportunities to simplify work through technology and process improvements while maintaining high standards of governance, confidentiality and customer service.

Executive & Administrative Support

  • Provide comprehensive administrative support including calendar management, meeting coordination, travel arrangements and logistics for senior leaders.
  • Coordinate meeting materials, presentations, reports and follow-up actions using productivity tools where appropriate.
  • Manage correspondence, documentation and records to ensure accuracy, confidentiality and compliance.
  • Coordinate cross-functional administrative requests and ensure timely completion.
  • Support ad hoc requests such as assisting with onboarding and offboarding activities as required.

Business Support & Project Coordination

  • Coordinate departmental activities, leadership meetings, workshops, town halls and employee engagement events.
  • Track action items, milestones and deliverables across multiple initiatives.
  • Support project administration as required.

Financial & Procurement Administration

  • Process Purchase Requisitions (PR), Purchase Orders (PO), Goods Receipt (GR), invoice verification and vendor payments.
  • Monitor departmental expenditure and budget utilisation.
  • Support annual budgeting and financial administration activities.
  • Liaise with Finance and Procurement to ensure compliance with policies and timelines.

Stakeholder & Vendor Management

  • Build effective relationships with internal stakeholders, vendors and service providers.
  • Coordinate service requests and vendor engagements.
  • Deliver responsive, professional and customer-focused administrative support.

Governance, Knowledge Management & Continuous Improvement

  • Maintain accurate departmental records and knowledge repositories using SharePoint or other collaboration platforms.
  • Ensure compliance with corporate governance, procurement and audit requirements.
  • Participate in departmental transformation initiatives and change management activities.

Digital Workplace & AI-enabled Productivity

  • Identify opportunities to automate repetitive administrative processes using digital workflow tools.
  • Support adoption of digital workplace technologies.
  • Leverage approved tools to improve productivity in document preparation, meeting summaries, scheduling, information retrieval and reporting while ensuring data privacy, confidentiality and compliance with company policies.

Skills for Success:

  • At least 5 years of administrative, executive support or office management experience.
  • Experience supporting senior executives in a corporate environment.
  • Experience with procurement and financial administration is preferred.
  • Experience using digital workplace technologies is an advantage.
  • Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams)
  • Microsoft Copilot or equivalent enterprise AI tools
  • SharePoint and collaboration platforms
  • SAP, Ariba/Acubuy or procurement systems
  • Basic workflow automation tools (Power Automate or equivalent) would be advantageous.
  • Digital document management and information organisation
  • Strong organisational and planning skills
