岗位职责
We are seeking a skilled and detail-oriented Part-Time Administrative Assistant to support our Customer Service team with order processing, document control, and quotation activities.
Key Responsibilities
Part Number Tracing & Identification
- Trace and identify part numbers across different systems and suppliers
- Cross-reference OEM part numbers with equivalent alternatives
Document Control
- Ensure proper version control and revision tracking for all technical documents
- Organize and archive project documentation in accordance with company standards
- Control document distribution and access permissions
- Support engineering change notice (ECN) and engineering change request (ECR) processes
- Maintain document registers and ensure compliance with quality management systems
Quotation Support
- Prepare basic technical quotations for spare parts and design services
- Assist in cost estimation for mechanical components and assemblies
- Support commercial team with technical specifications for proposals
Sales order processing - Processing of Customer Purchase orders
- Prepare ship list and shipment
- Invoicing
Experience
- Minimum 2-3 years of experience in administrative support
Technical Skills
- Familiarity with ERP/inventory management systems
- Competent in Microsoft Office Suite (Excel, Word, PowerPoint)
Soft Skills
- Strong attention to detail and organizational skills
- Good communication skills (written and verbal)
- Ability to work independently with minimal supervision
- Problem-solving mindset and proactive approach
