We are looking for a Compliance & Documentation Assistant to support the effective management, monitoring and maintenance of operational and compliance-related documentation.
Key Responsibilities
- Maintain and update company records, certificates, licences, permits and other relevant documentation
- Monitor document expiry dates and assist with timely renewal and submission of required documents
- Maintain accurate Excel trackers, registers, compliance matrices and documentation records
- Organise, file, index and retrieve documents in both electronic and physical filing systems
- Assist with document verification, submission and follow-up with internal departments and external parties
- Support the preparation of documents for audits, inspections, client requirements and project submissions
- Assist in updating company procedures, forms, manuals and other controlled documents
- Ensure proper version control and compliance with established document control procedures
- Assist with audit documentation, NCR/CAR records and follow-up actions
- Prepare basic reports, summaries and presentations using Microsoft Office
- Maintain confidentiality and ensure accuracy and completeness of all records
- Provide general administrative and documentation support to the relevant department
- Perform other duties as assigned by the supervisor or management
Requirements
- Diploma or Bachelor’s Degree in Business Administration, Management, Administration, Compliance or a related field
- Minimum 2 years of relevant working experience in administration, documentation, compliance, records management or a related role
- Strong and practical knowledge of Microsoft Excel is mandatory
- Must be able to use Excel for data entry, maintaining trackers, filtering, sorting, basic formulas and preparing reports
- Familiarity with document management or compliance software/systems is required
- Good knowledge of Microsoft Word and PowerPoint
- Experience with ISO documentation or management systems will be an added advantage
- Good organisational and time-management skills with strong attention to detail
- Able to maintain accurate records and handle multiple documents and deadlines
- Good communication and coordination skills
- Willing to learn and able to work independently with minimal supervision
Pay: RM2,500.00 - RM3,500.00 per month
