Job Scope

1) Direct Support & Office Administration

• Assist with daily office tasks, including answering incoming calls and managing incoming/outgoing couriers.
• Assist in arranging site visits and meetings.
• Process procurement requisitions (including non-stock items) and staff claims (e.g. handphone reimbursements, entertainment claims).
• Administer subscriptions, business gifts/hampers, and provide coverage for other admin staff when the need arises.

2) Facility& Equipment Coordination

• Help monitor and arrange maintenance for office equipment (e.g. water and coffee dispensers) and the office security system.
• Manage parking administration, including issuing carpark coupons and collecting charges.
• Coordinate telecommunication requests (PABX, Telco lines) by receiving requests, arranging site surveys, and scheduling installations.
• Assist with visitor system applications (JI/PCS,JI/VMS/SIT)

3) Documentation& Financial Support

• Compile data and prepare documents to assist with Budget/Capex planning and Turnaround preparation (including invoicing and cost recovery from complex downstream companies).
• Assist in preparing documentation for tenders and contracts.
Help coordinate, compile, and submit information for internal initiatives (safety and newsletter).

Requirements

• Minimum NITEC/Higher NITEC or equivalent qualifications
• Proficient in MS Office (i.e. MS Excel and MS Word)
• Candidates with SAP working knowledge will have an added advantage
• Good interpersonal and communication skills
