We are looking for an experienced and commercially driven Procurement Manager to lead our procurement activities for fresh fruits and produce.

The successful candidate will be responsible for sourcing quality products at competitive prices, developing strong relationships with local and international suppliers, managing purchasing costs, ensuring consistent product availability, and working closely with Sales, Warehouse, Operations and Management.

As fresh produce is highly seasonal and perishable, this role requires strong market knowledge, fast decision-making, negotiation skills and the ability to balance cost, quality, stock availability and wastage.

• Lead the sourcing and purchasing of fresh fruits and other related products from local and international suppliers.

• Identify and develop reliable new suppliers, growers, importers and trading partners.

• Evaluate suppliers based on pricing, product quality, consistency, reliability, lead time and payment terms.

• Negotiate pricing, purchasing terms, rebates, credit terms and supply arrangements.

• Ensure sufficient supply to meet customer and sales requirements while avoiding excessive stock.

• Develop alternative supply sources to minimize supply disruption and dependency on individual suppliers.

• Monitor daily and seasonal market prices, availability, crop conditions and supply trends.

• Understand fruit seasonality, country of origin, varieties, grades, sizing and market demand.

• Monitor fluctuations in supplier prices, freight costs, exchange rates and other factors affecting landed cost.

• Provide Management and Sales teams with timely information on market movements, shortages, upcoming seasons and pricing opportunities.

• Recommend purchasing strategies based on market conditions and expected customer demand.

• Work closely with Sales, Warehouse and Operations teams to forecast purchasing requirements.

• Monitor stock levels, stock ageing, incoming shipments and sales movement.

• Ensure purchasing quantities are aligned with sales forecasts and actual market demand.

• Minimize overstocking, slow-moving inventory, spoilage and wastage.

• Take immediate corrective action for products with slow movement or excessive stock.

• Support promotional or clearance planning for products at risk of ageing.

• Ensure purchased products meet the company's required standards for quality, freshness, size, grade, appearance and packaging.

• Coordinate with the Warehouse/QC team on incoming product quality inspections.

• Manage supplier complaints, quality discrepancies, shortages, damaged products and rejected goods.

• Negotiate claims, credit notes, replacements or compensation with suppliers where required.

• Analyze recurring quality issues and work with suppliers on corrective actions.

• Build and maintain strong long-term relationships with key suppliers and business partners.

• Conduct regular supplier performance evaluations.

• Maintain an approved and reliable supplier database.

• Review supplier performance based on quality, pricing, delivery, service and responsiveness.

• Visit suppliers, farms, markets or relevant facilities when necessary.

• Develop strategic partnerships with key suppliers to secure competitive pricing and priority supply.

• Coordinate with suppliers, freight forwarders, shipping agents and internal teams for imported products.

• Monitor shipment schedules, ETA, delays and product availability.

• Ensure purchasing and shipment documentation is accurate and properly maintained.

• Work closely with the relevant departments on import documentation, permits, customs clearance and delivery arrangements.

• Take appropriate action when shipments are delayed or market demand changes.

• Continuously identify opportunities to reduce purchasing and landed costs without compromising product quality.

• Monitor purchase price variance and supplier pricing trends.

• Prepare procurement reports covering purchasing value, supplier performance, cost savings, stock movement and other relevant KPIs.

• Establish and monitor procurement KPIs.

• Support Management in annual budgeting and procurement planning.

• Ensure all procurement activities comply with company policies and approval procedures.

• Lead, supervise and develop the Procurement/Buyer team.

• Assign purchasing responsibilities and monitor team performance.

• Provide guidance on supplier negotiation, sourcing, purchasing decisions and problem-solving.

• Ensure proper documentation and timely completion of purchase orders.

• Build a proactive and commercially focused procurement team.

• Bachelor's Degree in Supply Chain Management, Procurement, Business Administration, Logistics, Agriculture, Food Science or a related discipline.

• Minimum 5 years of experience in Procurement, Purchasing, Buying or Supply Chain, preferably with supervisory or managerial experience.

• Experience in fresh produce, fruits, vegetables, FMCG, food distribution, supermarket, hypermarket, wholesale or food trading will be highly advantageous.

• Candidates with strong experience as a Fresh Produce Buyer / Category Manager / Senior Buyer / Procurement Manager are strongly encouraged to apply.

• Strong knowledge of supplier sourcing, price negotiation and purchasing strategies.

• Good understanding of inventory management and demand forecasting.

• Strong numerical and analytical skills.

• Able to work effectively in a fast-moving environment where product prices and availability can change quickly.

• Strong communication, negotiation and problem-solving skills.

• Proficient in Microsoft Excel and purchasing/ERP systems.

• Able to communicate effectively with local and overseas suppliers.

• Willing to visit suppliers, markets, warehouses or farms when required.
