What you'll do
Summary Role
To provide comprehensive administrative support for Human Resources operations, including HR Business Partner (HRBP) activities, HR Generalist functions, and Payroll administration. The role is responsible for ensuring accurate employee records, timely processing of HR documentation, payroll coordination, statutory compliance, and efficient execution of employee lifecycle activities while maintaining confidentiality and high service standards.
Main Tasks
HR Administration & Employee Lifecycle Support:
- Manage and maintain all employee records, HR files, and documentation in both physical and digital formats.
- Prepare HR letters and documents including employment contracts, confirmation letters, transfer letters, promotion letters, salary adjustment letters, and resignation-related documents.
- Support onboarding and offboarding activities, including document collection, orientation coordination, system access requests, and exit clearance processes.
- Maintain accurate employee data in HR systems.
- Monitor probation, contract expiry, confirmation, and employee movement activities.
- Assist in visa, permit, insurance, and other employment-related administration where applicable.
HRBP & HR Generalist Support:
- Provide administrative support for HRBP activities and employee engagement initiatives.
- Support recruitment processes by coordinating interview schedules, preparing interview documentation, and maintaining candidate records.
- Assist in the administration of learning and development programs, training documentation, and HRD Corp-related requirements.
- Support performance management activities, employee surveys, and HR projects.
Payroll & Compensation Administration:
- Prepare and verify payroll-related data such as attendance, overtime, unpaid leave, shift allowances, and employee movement information.
- Ensure timely submission of payroll inputs and supporting documents.
- Coordinate with payroll providers or internal payroll teams to ensure payroll accuracy.
- Assist in payroll reconciliation and preparation of payroll reports.
- Support year-end payroll activities, tax submissions, and statutory reporting.
- Always maintain confidentiality of payroll and employee information.
Records, Compliance & Continuous Improvement:
- Act as the HR Department's QMS representative, responsible for maintaining HR procedures, documentation, compliance records, audit coordination, corrective actions, and continuous improvement initiatives in accordance with company quality standards and requirements.
- Assist in internal and external audits by preparing HR-related documents and reports.
- Monitor HR administrative processes and recommend improvements for operational efficiency.
- Ensure adherence to company policies, procedures, and compliance requirements.
- Keep all HR documents in order
- Ensure HR Teams folder is up-to-date and well maintained with proper backups done timely
- Coordinate HR weekly meetings (taking notes, updating tasks/follow-ups, etc.) and people board slides management
- HR Reporting – headcount, attrition, etc.
- Maintaining the Scorecard and ensuring the functional plan, annual process is updated
Competence and Qualification Requirement
- Diploma or Bachelor's Degree in Human Resource Management, Business Administration, Management, or related field.
- Minimum 2-3 years of experience in Human Resources Administration, HR Operations, HR Generalist, or related fields.
- Experience in payroll processing and payroll administration is an added advantage.
- Familiarity with HR processes throughout the employee lifecycle.
- Strong administrative and organisational skills.
- High attention to detail and accuracy.
- Good analytical and problem-solving skills.
- Ability to handle confidential information with integrity and professionalism.
- Proficient in Microsoft Office applications.
- Good communication and interpersonal skills.
- Ability to work independently and manage multiple priorities.
- Team player with a people-service mindset.
- Knowledge of HRD Corp claim processes and employee benefits administration.
