Key Responsibilities

  • Procurement & Purchasing

  • Obtain and evaluate supplier quotations, negotiate pricing and delivery terms, and recommend the most cost-effective solutions.
  • Prepare and process Purchase Orders (POs) in accordance with company procurement procedures.
  • Monitor purchase orders from issuance through delivery, ensuring timely fulfilment of vessel requirements.
  • Develop and maintain strong relationships with suppliers to ensure competitive pricing, product quality, and reliable service.

Technical Coordination

  • Liaise with Technical Superintendents and vessel personnel to understand procurement requirements and technical specifications.
  • Support the procurement of materials and services for vessel repairs, maintenance, dry-docking, and emergency requirements.
  • Ensure all purchased items comply with technical specifications and operational requirements.
  • Logistics & Inventory
  • Coordinate with suppliers, freight forwarders, and shipping agents to ensure timely delivery of materials to vessels worldwide.
  • Monitor shipment status and resolve any delivery or logistics issues.
  • Assist in monitoring inventory levels and support effective stock management to prevent shortages and minimise excess inventory.

Cost Control & Administration

  • Ensure procurement activities are carried out within approved budgets and identify opportunities for cost savings.
  • Verify supplier invoices and supporting documentation before processing.
  • Maintain accurate procurement records, supplier databases, and purchasing documentation.
  • Prepare procurement reports and support management with purchasing analysis and supplier performance reviews.

Requirements

  • Diploma or Bachelor's Degree in Supply Chain Management, Marine Engineering, Maritime Studies, Mechanical Engineering, Business, or a related discipline.
  • At least 2–5 years of relevant experience in technical purchasing, marine procurement, ship management, or a related industry.
  • Knowledge of marine spare parts, technical stores, and procurement processes is preferred.
  • Experience coordinating with suppliers, freight forwarders, and vessel personnel.
  • Strong negotiation, organisational, and communication skills.
  • Proficient in Microsoft Office applications; experience with ERP or procurement systems (e.g. SAP) is an advantage.
  • Strong attention to detail with good analytical and problem-solving skills.
  • Able to manage multiple priorities and work effectively in a fast-paced environment.
  • A proactive team player with a customer-focused mindset and the ability to work independently.
